Position Summary
The Project Coordinator plays a key role in supporting the successful execution of commercial construction projects. This position assists Project Managers with the administrative, organizational, and logistical aspects of project delivery, helping ensure projects remain on schedule, properly documented, and effectively coordinated.
The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
• Coordinate utility applications and service establishment
• Coordinate permit applications and approvals
• Prepare, maintain, and distribute project reports
• Arrange field staff travel, lodging, and project logistics
• Prepare subcontracts and purchase orders
• Assist with material procurement and vendor coordination
• Maintain project information within construction management software
• Initiate, track, and process change orders
• Manage construction documents and project records, both electronic and hard copy
• Coordinate project correspondence and communications
• Procure and track submittals
• Create, distribute, and track Requests for Information (RFIs)
• Assist with project closeout documentation and warranty administration
• Support Project Managers with additional project-related tasks as needed
Qualifications
• Professional experience, preferably within the construction industry; or a degree in a construction-related field
• Strong organizational and time-management skills
• Ability to manage multiple projects and deadlines simultaneously
• Excellent attention to detail and accuracy
• Strong written and verbal communication skills
• Professional demeanor when interacting with clients, subcontractors, vendors, and team members
• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
• Ability and willingness to learn industry-specific software and technology platforms
• Self-motivated with a strong work ethic and positive attitude
Work Environment
• Standard office hours are Monday through Friday, 7:30 a.m. to 4:30 p.m.
• Schedule flexibility may occasionally be required to meet project deadlines
• Position requires extended periods of computer and desk work
