Essential Responsibilities

General Accounting

  • Maintain the company's general ledger, accounting records, and financial reporting systems.
  • Record, reconcile, and safeguard all financial transactions and company assets.
  • Prepare monthly, quarterly, and annual financial statements and supporting schedules.
  • Review and audit accounting transactions to ensure accuracy and compliance.
  • Perform monthly bank reconciliations.
  • Reconcile and audit intercompany transactions.
  • Manage state business filings, registrations, and compliance requirements.
  • Coordinate external audits, including state, union, insurance, and regulatory audits.
  • Complete Statement of Experience (SOE) and prequalification applications for state agencies and other organizations.
  • Maintain the confidentiality of all financial records, reports, and proprietary business information.

Sage 100 Contractor Administration

  • Perform and support all accounting-related functions within Sage 100 Contractor.
  • Maintain system security settings, user permissions, and appropriate access controls.
  • Protect sensitive financial data and ensure system confidentiality and data integrity.

Payroll Administration

  • Set up and maintain payroll calculations and earnings codes.
  • Create and maintain union payroll codes.
  • Process payroll, including checks and direct deposits.
  • Prepare, verify, submit, and remit union reports and payments.
  • Calculate, file, and remit federal, state, and local payroll taxes.
  • Maintain employee vacation and sick leave balances.
  • Support timekeeping and attendance processes.
  • Safeguard confidential employee payroll, compensation, and personnel information.

Accounts Receivable

  • Process invoice voids and adjustments.
  • Review and process customer credit applications.
  • Support accounts receivable functions while maintaining the confidentiality of customer financial information.

Tax & Regulatory Compliance

  • Ensure compliance with all applicable federal, state, and local tax requirements.
  • Assist with tax filings, reporting, and regulatory compliance activities.
  • Protect confidential tax records and financial documentation.

Confidentiality Requirements

This position requires access to confidential financial, payroll, personnel, banking, customer, vendor, and proprietary company information. The Staff Accountant is expected to:

  • Maintain strict confidentiality of all company and employee information.
  • Protect sensitive financial and business records from unauthorized disclosure.
  • Comply with all company policies regarding confidentiality, data security, and record retention.
  • Exercise discretion and professionalism when handling confidential matters.
