Overview
The Payroll Supervisor leads daily payroll operations to ensure all employees are paid accurately, timely, and in full compliance with federal, state, and local regulations. This role oversees payroll processing activities, provides guidance to payroll team members, supports cross-functional partners, and drives continuous improvement of payroll procedures and systems. The Payroll Supervisor is expected to demonstrate strong leadership, advanced payroll expertise, sound judgment, and excellent communication skills. This is a full-time, salaried, exempt position.

Principal Duties and Responsibilities
  • Supervises daily workflow of payroll team members, providing coaching, direction, and support.
  • Ensures payroll workloads are balanced and deadlines for weekly and bi-weekly payroll cycles are consistently met.
  • Serves as primary escalation point for complex payroll issues and employee concerns.
  • Trains and mentors new payroll team members; promotes knowledge sharing and skill development across the team.

Payroll Processing & Compliance
  • Oversees processing of weekly and bi-weekly payrolls for approximately 4,000 employees, ensuring accuracy, timeliness, and adherence to internal controls.
  • Reviews and approves payroll batches, adjustments, deductions, garnishments, and off-cycle payments.
  • Ensures compliance with wage and hour laws, tax regulations, and company policies.
  • Monitors and validates multi-state payroll tax withholdings and payments.
  • Oversees setup and audit of employee deductions and earnings.
  • Supports administration and optimization of the payroll system (UKG/UltiPro preferred).
  • Reviews and improves payroll processes to increase efficiency, accuracy, and service quality.
  • Collaborates with HR, Benefits, and Finance to ensure data integrity across systems.
  • Works with BI/reporting tools to generate, audit, and analyze payroll data.
  • Provides guidance and support to managers on payroll policies, procedures, and system functionality.
  • Communicates effectively with employees regarding payroll questions, corrections, and escalated concerns.
  • Ensures excellent service delivery and timely resolution of issues.
  • Oversees and supports administration of:
    • Garnishments, liens, and child support orders
    • Qualified Transportation Benefits
    • 401(k) Plan payroll processes
    • Leaves of Absence payroll components
    • Short-Term and Long-Term Disability payments
  • Ensures proper documentation, filing, and record retention for payroll.
  • Maintains confidentiality of all sensitive payroll and company information.
  • Performs additional duties and special projects as assigned.

Experience and Skills Required
  • College degree preferred.
  • 5-7 years of payroll experience, including multi-state payroll; prior supervisory or lead experience strongly preferred.
  • Advanced knowledge of payroll practices, wage & hour laws, and regulatory requirements.
  • Experience with UKG/UltiPro highly preferred.
  • Experience with Business Intelligence report writing tools preferred.
  • Strong proficiency in Microsoft Excel and Word.
  • Demonstrated ability to analyze and resolve complex payroll issues.
  • Strong organizational skills with ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills with ability to interact effectively at all levels.
  • Ability to exercise sound judgment and make strategic decisions aligned with company goals.
  • High attention to detail while working in a fast-paced environment.
  • Must be based in the Dallas/Fort Worth area.
  • Ability to maintain confidentiality and work in a constant state of alertness in a safe manner.
