TITLE: Administrative Assistant
CLASSIFICATION: Classified Hourly Salary Schedule
REPORTS TO: Principal
SUMMARY: Under the direction of the Principal, the administrative assistant will provide typing and general secretarial services to ensure smooth and efficient operations.
PERFORMANCE RESPONSIBILITIES:
1. Provide general clerical and typing services to the department including word processing from rough or final drafts, preparing and processing department correspondence, receiving visitors, answering telephones, and preparing reports and special projects.
2. Organize and maintain data and information.
3. Maintain financial, statistical, and accounting records and prepare accurate records.
4. Establish and maintain effective filling and follow-up systems.
5. Coordinate the office operations including copying, typing, transportation, and travel arrangements for staff.
6. Establish and maintain appointment calendar.
7. Order supplies and equipment using invoices and vouchers.
8. Maintain professional working environment and confidentiality.
9. Participate in ongoing training related to job responsibilities.
10. Perform other job-related duties as assigned.
EDUCATION:
High school diploma or equivalency.
EXPERIENCE:
One year experience required.
SKILLS/KNOWLEDGE/ABILITIES:
  • Knowledge of basic bookkeeping.
  • High level of English proficiency is required for the completion of work tasks, frequent telephone communication, and preparation of written correspondence (spelling, punctuation, and grammar).
  • Ability to type 40 words per minute.
  • Ability to use Microsoft Word and applications.
  • Ability to use standard office equipment including copy machine, FAX, and calculator.
