Job description

Zionsville Community High School is seeking applicants for the School Administrative Assistant / Treasurer.  This position is full time, benefits eligible.

Essential Functions:

  1. Maintain all extracurricular funds (receive, verify and deposit all funds, including online payments, write and post receipts, issue purchase orders, write, sign and post checks, and monitor all account balances).
  2. Supervise purchases from extracurricular funds.
  3. Post and maintain accurate records in the financial system.
  4. Deposit funds received at the bank in a timely manner.
  5. Balance bank statement and close books each month.
  6. Maintain anti-fraud procedures as determined by the District.
  7. Work with teachers, coaches, and athletic directors to spend extracurricular funds by issuing required forms as needed.
  8. Review extracurricular accounting procedures with all teachers, coaches and sponsors at the beginning of each school year.
  9. Balance the extracurricular books at the end of the school year and submit reports to the Business Services Department
  10. Assist Business Services in the determination of student fees as needed.
  11. Assist in the collection of student fees from patrons (reconcile all payments received, write receipts, deposit and post payments in the financial system).
  12. Balance and transfer book rental funds to consumable and material accounts monthly. Send book rental funds collected to Administration prior to winter and summer breaks.
  13. Distribute, track and record cash boxes and tickets for athletics, extra-curricular activities and concessions as needed. 
  14. Perform all school treasurer procedures required per State Board of Accounts expectations.  This includes tracking budget, balancing statements, collecting monies, writing checks and compiling reports as well as attending treasurer meetings as required.
  15. Perform all necessary procedures related to State Board of Accounts expectations for Extra Curricular Treasurer, as needed.
  16. Enter purchase requisitions into purchase order system for building and track orders through delivery and payment of invoice.
  17. Code and Approve invoices in the invoice management system allowing for timely payment of invoices
  18. Coordinate curricular and classroom supply purchases with vendors, including submitting required requisitions into the purchase order system and track orders through delivery and payment of invoice.
  19. Assist staff with obtaining, purchasing, distributing instructional materials as directed by building administration.
  20. Perform work on special projects as directed by building administration.
  21. Assist the building administrative assistants as necessary in the efficient operation of the high school front office.
  22. Serve as member of school safety team which includes assisting with building evacuations and ensuring teachers have all required materials, evacuation bags, and supplies.
