The Senior Travel & Relocation Specialist supports the day-to-day execution of company travel and relocation programs. This role serves as a key point of coordination for our Senior Leadership Team (SLT), general travelers, and third-party providers, including Signet's travel management company (TMC) and relocation suppliers.
This role ensures requests are handled efficiently, policies are followed, and employees have smooth, well-supported experience throughout their travel or relocation journey. The Senior Travel & Relocation Specialist will independently monitor active travel & relocations and adeptly recommend solutions to prevent interruptions or delays.

Traveler Support

  • Serve as one of the primary internal contacts for all employee travel needs, issue resolution, answering questions, and guiding employees on policy and process

  • Coordinate with the TMC to ensure travel requests are fulfilled accurately and in a timely manner

  • Supports executive and high-priority travel coordination in partnership with the Travel Manager and ensures each travel arrangement is completed meticulously to the traveler's satisfaction.

  • Review travel requests for policy compliance and appropriate approvals prior to TMC ticketing

  • Independently manage travel-related disruptions and exceptions with the TMC and service providers, escalating complex or high-risk situations to the Travel Manager, as needed

  • Onboards new travelers into the program to assist with online and offline booking, trains on the booking tool and provides overview of the Travel policy.

  • Maintain and update travel profiles, preferences, and documentation within booking tools and systems

  • Provide travel support to Corporate Events and Conference Services teams to assist with Signet sponsored meetings and events.

  • Occasional rotational after-hours support for SLT and international travelers (for emergencies)

Supplier & Stakeholder Relationship Management

  • Act as a liaison between internal stakeholders and external providers (TMC, relocation suppliers, service providers, etc.), ensuring timely and effective communication

  • Support day-to-day supplier relationship management activities, including monitoring service delivery, responsiveness, and overall performance against expectations

  • Track and document service issues, recurring challenges, and traveler feedback; identify patterns and escalate trends to the Travel & Relocation Manager

  • Participate in supplier performance reviews by gathering data, compiling feedback, and preparing materials to support quarterly or periodic business reviews

  • Hold suppliers accountable for service delivery, escalating systemic issues and recommending improvements to the Travel Manager

  • Partner with the Travel Manager to follow up on corrective actions, service improvements, or issue resolution with suppliers

  • Maintain organized records of supplier interactions, issues, and resolutions to support continuity, reporting, and performance tracking

  • Support onboarding of new suppliers or services, including coordinating setup, documentation, and internal communication

Relocation Program Support

  • Coordinate relocation activities between employees and relocation suppliers from initiation through completion

  • Serve as a primary point of contact for relocating employees, ensuring a seamless and well-communicated experience. Provide guidance on program benefits, timelines, and expectations.

  • Own tracking of all relocation activities, including milestones, documentation, and expense alignment

  • Partner with HR and hiring managers to support new hire and internal transfer relocations

  • Monitor relocation expenses and ensure alignment with policy and budget expectations

Financial Management & Reconciliation

  • Support management of travel and relocation budgets by tracking expenses, monitoring trends, and identifying variances against plan

  • Perform monthly reconciliation of travel and relocation expenses, ensuring accuracy, proper coding, and alignment with financial reporting requirements

  • Partner with Finance to support accruals, forecasting, and month-end close activities

  • Review invoices for accuracy prior to payment

  • Assist in identifying and implementing cost-saving opportunities and areas of spend optimization

  • Partner with Tax and HR to support relocation-related tax implications, including tracking taxable benefits, ensuring proper reporting, and coordinating required documentation

  • Ensure relocation expenses are categorized appropriately in alignment with company policy and regulatory requirements

Reporting & Program Support

  • Assist in maintaining travel and relocation trackers, reports, and dashboards

  • Support data collection for budgeting, forecasting, and supplier performance reviews

  • Own traveler experience, identifying friction points and implementing improvements to processes, tools, and communication

Policy & Compliance Support

  • Ensure adherence to company travel and relocation policies

  • Identify opportunities to improve clarity, compliance, and user experience within existing processes

  • Support communication and rollout of policy updates or program changes

Education:

  • Travel/Tourism education, preferred

Acceptable Job-Related Experience:

  • Experience in corporate travel operations, required

  • Experience in relocation support, HR operations or a related field, preferred

  • Experience directly supporting executive travel, preferred

  • Experience working with a travel management company (TMC) or relocation provider, preferred

Years of Job-Related Experience:

  • 4+ years' experience in corporate travel operations required

  • 1+ years' experience in relocation support preferred

Technical/Other Skills:

  • Strong organizational skills with the ability to manage multiple requests and priorities

  • Excellent communication skills with a customer-service mindset and the ability to interact with all levels of the organization. Must be comfortable interfacing with Signet's Senior Executives and their administrative staff.

  • Detail-oriented with a focus on accuracy and follow-through

  • Ability to navigate ambiguity and resolve issues proactively

  • Ability to operate in a fast-paced, service-driven environment

  • Proficiency in Microsoft Office tools; experience with travel or expense systems is a plus
