Job description

Overview

Provide administrative and operational support to the Transportation team to ensure timely and accurate delivery execution. Supports dispatch activities, driver communication, scheduling updates, and documentation while maintaining compliance with company standards and regulatory requirements.

SCHEDULE:

Sunday 5:00 AM - 12:30 PM; Wednesday 9:00 PM - 8:30 AM; Thursday 9:00 PM - 8:30 AM; Saturday 4:00 AM - 3:30 PM

Responsibilities
  • Assist in dispatching drivers by preparing and distributing load paperwork and trip instructions, including planning holiday scheduling. 
  • Communicate route assignments, changes, and delivery expectations to drivers.
  • Monitor delivery progress and maintain communication with drivers, store locations, and management.
  • Update schedules and make routine adjustments based on leadership direction.
  • Print, assemble, and organize trip documentation after loads are released.
  • Maintain communication with drivers regarding dispatch times, delays, and delivery status.
  • Provide updates to drivers on schedule changes and estimated delivery times.
  • Answer incoming calls and resolve routine inquiries or escalate as needed.
  • Maintain accurate dispatch logs, records, and transportation documentation.
  • Enter driver, trip, and routing data into internal systems.
  • Monitor deliveries and report delays or service issues to leadership.
  • Assist with matching backhauls to routes and communicating stops to drivers.
  • Support updates to trips or backhaul changes as directed.
  • Coordinate with warehouse teams to support timely load execution.
  • Assist with training new employees on dispatch systems and processes, including ongoing support of CAMS, MOBI and Mainframe.
  • Provide general administrative support to the Transportation department.
Qualifications
  • High school diploma or equivalent.
  • Experience in transportation, dispatch, logistics, or administrative support preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks in a fast-paced environment.
  • Strong verbal and written communication skills.
  • Basic to intermediate proficiency in Microsoft Excel and Word.
  • Ability to learn transportation and dispatch systems.
  • Flexibility to work various shifts, including nights, weekends, or holidays as needed.
