  • Ensure drivers have confirmed flight assignments and that all required dispatch system entries are completed before the estimated time of departure.
  • Coordinate closely with dispatchers, drivers, driver helpers, guides, dock personnel, airline representatives, and internal departments to maintain service quality and delivery schedules.
  • Lead shift briefings, communicate operational priorities, and ensure employees understand their assignments, responsibilities, and safety expectations.
  • Provide direct, hands-on supervision during peak operational periods and redistribute resources as needed to address bottlenecks, staffing shortages, and delayed flights.

  • Plan, prepare, and publish employee schedules while ensuring appropriate staffing coverage based on operational and flight demands.
  • Manage callouts, absences, leave requests, and schedule changes proactively to minimize disruption to the operation.
  • Monitor employee hours and overtime daily, adjust staffing to reduce unnecessary overtime, and report trends or concerns to management.
  • Supervise, train, coach, and develop drivers, driver helpers, dispatchers, guides, and dock personnel.
  • Monitor individual and team performance, reinforce established procedures, provide constructive feedback, and address performance concerns promptly.
  • Foster a respectful, professional, and accountable work environment while addressing interpersonal conflicts fairly and constructively.
  • Verify that vehicles are inspected, properly fueled, roadworthy, and available before operations begin.
  • Coordinate vehicle and equipment assignments based on flight schedules and operational requirements.
  • Maintain accurate records of vehicle usage, inspections, availability, condition, driver logs, delivery activity, and corrective actions.
  • Address vehicle or equipment malfunctions promptly and coordinate required repairs or maintenance with Fleet Management.
  • Oversee the accurate use and real-time functioning of applicable transportation and dispatch systems, including transportation related software or similar platforms.
  • Resolve system errors, blocks, or interruptions during live operations and escalate technical issues when necessary.
  • Ensure compliance with DOT, OSHA, airport, airline, Port Authority, TSA, U.S. Customs, hours-of-service, traffic, vehicle-weight, ramp safety, and internal operational requirements.
  • Develop, reinforce, and maintain training materials and procedures related to safe vehicle operation, dispatch processes, dock operations, and ramp safety.
  • Conduct field observations and coaching to reinforce safe driving practices and operational standards.
  • Maintain the dock, ramp, and transportation areas in safe and effective operating condition and report infrastructure or safety concerns promptly.
  • Serve as an escalation point for transportation, dispatch, staffing, vehicle, and flight-service challenges.
  • Track operational KPIs, analyze performance trends, identify gaps, and recommend action plans that improve service, safety, efficiency, and departmental results.
  • Prepare accurate shift reports, incident documentation, irregularity reports, expedited-flight logs, and operational updates for management.
  • Perform additional duties and responsibilities assigned by the Operations Manager to support departmental and organizational objectives.
