Job description

RESPONSIBILITIES AND DUTIES:

  • Process weekly driver settlements accurately and on schedule in accordance with company policies, driver agreements, and contractual requirements.
  • Calculate driver compensation based on mileage, percentage pay, and other approved compensation structures.
  • Review and process deductions, advances, settlement holds, and releases with a high level of accuracy and attention to detail.
  • Interpret driver contracts and agreements to correctly apply compensation terms, benefits, and authorized deductions.
  • Coordinate with Human Resources, Safety, Operations, Billing, Imaging, EFS, and other departments to ensure accurate driver setup, settlement processing, and resolution of discrepancies.
  • Investigate and resolve driver compensation discrepancies, settlement questions, and account issues in a timely and effective manner.
  • Generate, review, and analyze settlement reports to verify accuracy, identify trends, and support operational decision-making.
  • Manage and coordinate department email inboxes to ensure timely responses, proper documentation, follow-up, and resolution of driver and internal inquiries.
  • Communicate effectively with drivers, operations personnel, and internal departments to gather information needed to accurately process settlements and resolve questions.
  • Maintain accurate settlement records, system data, and processes to minimize manual workarounds and improve operational efficiency.
  • Identify opportunities to improve settlement processes through technology, automation, and continuous process improvement.
  • Maintain current knowledge of company operations, driver compensation practices, driver agreements, and operational factors that impact settlements.
  • Maintain established accuracy, productivity, and key performance indicator (KPI) standards while meeting weekly deadlines.
  • Perform additional duties and special projects as assigned by management. Other duties as assigned by management.

REQUIRED SKILLS AND ABILITIES:

  • Excellent written and verbal communication skills with the ability to communicate professionally with drivers, management, and internal departments.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks, manage competing priorities, and meet established deadlines.
  • Strong analytical, critical thinking, and problem-solving skills with the ability to investigate discrepancies, identify root causes, and recommend solutions.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Ability to adapt to changing priorities and business needs while maintaining productivity and accuracy.
  • Demonstrated commitment to providing excellent internal and driver customer service.

QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Previous experience processing driver settlements, transportation accounting, or a related transportation support role preferred.
  • Experience using AS/400 or similar enterprise systems preferred.
  • Proficiency in Microsoft Office applications, with strong working knowledge of Microsoft Excel and Outlook.

PHYSICAL REQUIREMENTS:

  • Prolonged periods sitting at a desk, working on a computer, and talking on the phone.
  • Must be able to lift up to 15 pounds occasionally.
