Transition Project Manager information

What is a transition project manager?

Transition Project Managers are professionals responsible for overseeing the smooth transfer of projects, services, or operations from one state to another, such as during mergers, system upgrades, or organizational changes. They plan, coordinate, and execute transition activities to minimize disruption and ensure that objectives are met within budget and timeline constraints. Their role often involves risk assessment, stakeholder communication, and process optimization to ensure a seamless transition and continued business performance.

What are the key skills and qualifications needed to thrive as a transition project manager?

To thrive as a Transition Project Manager, you need strong project management expertise, experience in change management, and often a relevant degree or certification like PMP or PRINCE2. Familiarity with project management tools (such as MS Project, Jira, or Asana) and IT service management systems (like ITIL) is typically required. Exceptional communication, stakeholder management, and problem-solving skills help you lead teams and navigate organizational change. These abilities are crucial to ensure seamless transitions, minimize disruptions, and achieve project goals on time and within budget.

What are some common challenges faced by transition project managers during organizational change initiatives?

Transition Project Managers often encounter challenges such as managing stakeholder expectations, ensuring clear communication across departments, and maintaining project timelines while adapting to evolving requirements. Navigating resistance to change from employees and addressing unforeseen operational disruptions are also frequent hurdles. Successful Transition Project Managers leverage strong interpersonal skills and a structured approach to problem-solving to guide teams smoothly through changes while minimizing risks to business continuity.

Job description

Intern Architect / Project Assistant

Architecture

Security clearance eligibility required | Canadian Citizenship required *

Location: Toronto, ON - On-Site full time (North York)
Salary Range: $75,000 – $96,000 (depending on experience + skills)

Other titles: Intern Architect, Junior Project Assistant, Junior Project Manager, Architectural Project Manager Assistant, Project Administrator, Junior Project Coordinator

THE COMPANY

A highly respected and well established architecture practice is seeking an Intern Architect who can work in the role of a Project Manager Assistant to join their team and to work on a secure, high-profile federal government project currently underway in Toronto. This is a rare opportunity to be embedded full-time on a confidential public-sector project, working side-by-side with the project team, consultants, and client in a dedicated on-site project office.

THE ROLE

Reporting directly to the Project Manager on site, the Intern Architect / Project Manager will act as a key support role within the project team — helping to manage information flow, document control, schedules, and communication across all disciplines.

This position will be fully on-site for the duration of the project due to confidentiality and security requirements. Upon project completion, the role will transition to support other public-sector projects within the firm.

Key Responsibilities:

Support the Project Manager with day-to-day coordination of a confidential federal project

  • Manage and track architectural project documentation across all stages

  • Distribute and coordinate project deliverables and schedules for all project stages

  • Lead document control processes, including RFIs, site instructions, and payment documentation - coordinate with Project Manager and Contract Administrators to ensure successful execution

  • Coordinate information exchange between consultants, contractors, and internal teams in a secure environment

  • Attend project meetings, prepare meeting minutes, and follow up on action items

  • Assist with issuing drawings and deliverables, ensuring approvals, seals, and compliance requirements are met

  • This role is best suited to someone who thrives in a collaborative, fast-paced environment and enjoys being deeply involved in the day-to-day coordination of complex architectural projects.

WHAT'S REQUIRED

  • 6+ years of industry experience with  at least 3+ years of relevant experience in Project Management or a related role from within an Architecture firm or related company

  • Background in architecture or multidisciplinary design consulting — experience working within an architecture firm is strongly preferred or education in Architecture

  • Solid understanding of the design process and consultant coordination (this is not a construction-only project coordination role)

  • Strong organizational, communication, and documentation skills

  • Advanced proficiency with Microsoft Office. Knowledge of Revit or architectural software an asset but not essential

  • Ability to work full-time on site for the duration of the project in Toronto

Security Requirement

  • Active or eligible Security Clearance is required for this role

  • Canadian Citizenship required

  • *Must not of resided in or visited countries in the past 10 years on the Canadian government exclusion list for security clearance eligibility (China, Iran, Pakistan, India, Russia).

WHAT YOU GET IN RETURN

  • Work on a rare, confidential federal government project

  • Be embedded in a fully integrated on-site project team environment

  • Gain hands-on experience supporting a senior Project Manager on a complex public-sector build

  • Long-term opportunity beyond the project, with potential to transition to a more flexible model in the future

  • Competitive compensation + benefits

WHAT TO DO NOW

If this opportunity aligns with your experience and career goals, please apply with your resume or reach out to Laura Shalev at lshalev@talentsphere.ca for further details.

We appreciate all applications; however, only candidates who meet the requirements above and who are selected for further consideration will be contacted.
