About the Position: This is a time limited position (NS-14). The Project Manager II leads agency wide initiatives aimed at improving business processes, enhancing operational efficiency, and supporting digital transformation efforts. This role oversees the implementation, optimization, and maintenance of electronic tools, including artificial intelligence solutions, automation platforms, and workflow systems, to support agency operations. The manager also serves as the primary administrator for the agency's electronic document management system (EDMS), ensuring effective digital records management, compliance, and user support across all divisions.Key Responsibilities:• Lead cross functional special projects focused on process improvement, digitization, and efficiency gains across the agency.• Identify, evaluate, and implement electronic tools and emerging technologies such as AI assisted analytics, automation features, and digital workflow applications.• Serve as the agency-wide administrator for the electronic document management system, overseeing system configuration, maintenance, user access, and data integrity.• Develop, document, and enforce standards for electronic records management, digital archiving, retention schedules, and secure document handling in compliance with applicable laws and policies.• Collaborate with program leaders to map workflows, analyze operational needs, and design technology supported solutions that improve service delivery.• Assist in managing software vendors, contracts, licensing, and system upgrades, ensuring tools remain cost effective, reliable, and secure.• Provide training, technical guidance, and change management support to staff during the rollout and ongoing use of new digital tools.• Lead pilot projects and proof of concept initiatives involving AI, automated document classification, workflow optimization, and data driven insights.• Create and maintain project plans, timelines, progress tracking, and status reporting to ensure alignment with agency goals and timely completion.• Ensure all technology tools adhere to cybersecurity standards, privacy requirements, and federal/state regulations.• Continuously evaluate system performance, gather user feedback, and recommend enhancements to improve functionality and user experience.• Monitor industry trends and regulatory updates to proactively recommend modernization strategies and emerging digital solutions for the agency.
What you'll need to be Successful: • Experience managing projects involving technology implementation, workflow improvement, or operational modernization. • Knowledge of electronic document management systems, digital records standards, and related compliance requirements. • Demonstrated ability to lead cross departmental initiatives and communicate effectively with stakeholders of varying technical backgrounds. • Strong organizational, analytical, and problem solving skills. • Ability to learn new technologies quickly and translate technical concepts into practical applications. • Familiarity with automation tools, AI assisted platforms, or data driven process improvement technologies. • Experience working in a governmental or public sector environment.
