What is a training specialist?

Training specialists are human resources professionals who design and implement professional development programs to improve employee performance. As a training specialist, your job duties include running orientation classes for new staff members, assessing the strengths and weaknesses of employees, and leading employee training and continuing education sessions. You also monitor employee performance over a period of time to evaluate retention of new policies and techniques taught in training sessions. Because training specialists need to communicate well to a room full of people, excellent communication skills are required for this position.

What does a training specialist do?

A Training Specialist is responsible for designing, developing, and delivering educational programs to improve employee skills and knowledge within an organization. They assess training needs, create instructional materials, and lead training sessions, either in-person or virtually. Additionally, Training Specialists often evaluate the effectiveness of training programs and make adjustments to ensure learning objectives are met. Their goal is to help employees perform better in their roles and support organizational growth.

What are the key skills and qualifications needed to thrive as a training specialist, and why are they important?

To thrive as a Training Specialist, you need expertise in instructional design, curriculum development, and adult learning principles, typically supported by a degree in education, HR, or a related field. Familiarity with Learning Management Systems (LMS), e-learning authoring tools, and relevant certifications such as CPTD or ATD are highly advantageous. Outstanding communication, presentation, and organizational skills help build rapport with learners and adapt content to diverse audiences. These competencies ensure effective knowledge transfer, participant engagement, and measurable training outcomes.

How do training specialists typically collaborate with subject matter experts to develop effective training materials?

Training Specialists frequently partner with subject matter experts (SMEs) to ensure training materials are accurate, relevant, and tailored to the audience’s needs. This collaboration usually involves conducting interviews or workshops with SMEs, reviewing technical content, and jointly designing course outlines or instructional materials. Effective communication skills are essential, as Training Specialists must translate complex information into engaging and understandable training resources. Regular feedback loops and pilot sessions are also common to refine materials before full implementation.

What is the difference between Training Specialist vs Instructional Designer?

AspectTraining SpecialistInstructional Designer

Work EnvironmentCorporate training departments, educational institutions, or government agenciesEducational institutions, corporate training teams, e-learning companies
Employer & Industry UsageUsed across various industries for employee development and onboardingPrimarily in education, e-learning, and corporate training for curriculum development

While both roles focus on training and education, a Training Specialist primarily delivers training sessions and manages training programs, whereas an Instructional Designer develops instructional materials and e-learning content. The roles often overlap, but Instructional Designers tend to focus more on curriculum creation and course design, while Training Specialists focus on facilitation and delivery.

What degree do you need to be a training specialist?

A training specialist typically needs at least a bachelor's degree in education, human resources, business, or a related field. Relevant experience, strong communication skills, and knowledge of training methods or instructional design are also important for this role.
