The IP Training & Project Specialist supports the management team and IP managers in the execution of specialized Intellectual Property (IP) projects and special requests to ensure high-quality work product and timely delivery of results. This role requires comprehensive knowledge of USPTO and foreign patent prosecution processes, strong technical and analytical expertise, and a leadership-oriented, results-driven mindset.

In addition to contributing to the design, delivery, and continuous improvement of IP training programs, the ideal candidate partners closely with the IP Director and IP managers to address practice-specific needs, support competitive and strategic requests, and reinforce accountability to established standards and best practices. The role demands strong project management capabilities, advanced proficiency in Microsoft Office and IP-specific software, and the ability to analyze and report on training and operational effectiveness.

This position reports to the Director, IP Operations and collaborates with firm leadership to ensure consistent, efficient, and compliant IP support services.

What You Will Do:

  • Supports the management team and IP managers with special requests, ensuring high-quality work product and timely completion of deliverables.

  • Assists with the creation, documentation, and delivery of comprehensive IP training programs for new and existing members.

  • Provides training and evaluates performance to identify team-wide and individual development opportunities.

  • Maintains current knowledge of USPTO and foreign patent prosecution rules, procedures, and industry trends, incorporating updates into training and operational guidance.

  • Assists with the development, implementation, and reinforcement of best practices and quality standards, supporting team accountability.

  • Participates in the evaluation of existing processes and procedures to ensure alignment with rules changes and operational requirements.

  • Assists with testing, training, implementation, and optimization of IP-related and practice support software.

Who You Are:

  • Bachelor's degree required.

  • A minimum of three (3+) years of domestic patent prosecution experience in a law firm or professional services environment; law firm experience strongly preferred.

  • Comprehensive knowledge of IP prosecution procedural terminology, requirements, and workflow.

  • Demonstrated level of comfort in a professional teaching/training role including the ability to interpret needs and respond within established guidelines with minimal supervision.

  • Proficiency in MS Outlook, Word, and Excel, with strong general computer and database management skills.

  • Proficient with IP-related software applications.

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills with the ability to work both independently and collaboratively.

  • Effective time management, organizational, prioritization, and problem-solving skills, particularly in high-pressure or time-sensitive environments.

  • Flexibility to respond calmly and effectively in stressful situations or rapidly changing situations.

  • Reliable, punctual and capable of meeting deadlines under pressure.

  • Ability to maintain confidentiality of firm and client information.

  • Experience with project management and docketing functions is highly desirable.
