Job description

  • Collaborate with Faculty, Proposal Support Health Sciences, and COM-P departments on pre-award proposal submissions.
  • Serve as the primary coordinator for pre-award reporting activities, collecting information from PIs, lead researchers, business offices, student trainees, and external stakeholders to ensure accuracy and completeness.
  • Ensure that all grant sections are compliant with funding agency requirements.
  • Partner with faculty to prepare proposal materials, including, but not limited to, bio sketches, project budgets, current and pending support, conflict of interest/commitment forms, and other required documents, ensuring alignment with institutional goals.
  • Work in close collaboration with faculty and staff to provide information to PSHS for UAR routing and submission. 
  • Draft required college level documents such as F&A waivers, later proposal waivers, cost share commitments letters, letters of commitment/support. 
  • Review pre-award documents to ensure accuracy and compliance with Federal, State, sponsor, and University guidelines and policies.
  • Identify new and potential grant opportunities and ensure that the funding opportunities are provided to relevant faculty, trainees, and teams.
  • Assist with proofreading grant applications.
  • Create templates for non-federal grant applications.
  • Proofread and update NIH and other sponsor required biosketches.
  • Develop, maintain, and communicate best practices and processes for the college related to pre-award activities.
  • Post-proposal assistance including re-budgeting, coordinating response to sponsor requests for additional information, and submitting additional documents and/or revisions to the sponsor as needed.
  • Assist in providing training to faculty, staff, and administrators in partnership with central UA research offices.
  • Act as liaison with PSHS, Office of Research and Partnership, and provide policy and procedure interpretation and training to the COMPHX community.
  • Collaborate with sponsored program managers to track award progress, coordinate hand-offs, and ensure seamless execution of program objectives.
  • Create and deliver reports as needed to track data related to grant activities.
  • Continually seek areas for process improvement to increase efficiency and effectiveness.

  • Excellent verbal and written communication skills demonstrating high levels of emotional intelligence. 
  • Ability to convey accurate, complete information and maintain strict confidentiality when required.
  • Proficient in Microsoft Office, Word, Excel, and PowerPoint. 
  • Demonstrated professional and friendly demeanor interacting with diverse individuals.
  • Ability to interact with and assist the public in a professional, courteous, and service-oriented manner.
  • Strength with analytical tasks.
  • Work well under compressed deadlines.
