Job description

Clark Hill PLC seeks an experienced full-time Legal Administrative Assistant in its Scottsdale Office. A minimum of 3 years of Intellectual Property experience and the ability to work in a team environment is required. Experience in a high-volume, fast-paced legal practice is preferred. This position reports to the Office Manager, as well as to assigned attorneys, and is responsible for, among other activities, (i) providing the requisite legal secretarial and administrative support/clerical needs of assigned attorneys; (ii) preparing letters, memos, and other documentation, as required; (iii) entering client information into the system to run conflict checks for new clients, as well as preparation of supporting documentation such as engagement letters; (iv) making travel arrangements and preparing expense reimbursement documentation; (v) answering the phones of assigned attorneys; and (vi) entering attorney time.
Job Requirements:
  • Must possess the ability to navigate various patent and trademark databases, portals, and filing systems at the United States Patent and Trademark Office (“USPTO”).
  • Must possess in-depth knowledge of the patent, trademark, and copyright application/prosecution processes and procedures (both U.S and foreign), terminology, forms, and associated deadlines.
Job Responsibilities:
  • Provides specialized support to patent and trademark group, with a thorough understanding of internal and external patent and trademark practices, procedures and requirements relating to all phases of filing, prosecuting, and maintaining patents and trademarks for Firm clients.
  • Assists with patent, trademark, and copyright due diligence.
  • Maintains IP Department-specific databases and electronic files.
  • Prepares and files documents with the USPTO including patent and trademark applications, responses, assignments, powers of attorney, etc.
  • Works closely with attorneys and paralegals on all aspects of patent, trademark, and copyright applications.
  • Establishes and maintains calendar and deadline reminder systems; utilizes the Firm and IP department calendar system; schedule appointments for timekeepers as necessary and/or as requested.
While this position assists attorneys in the Intellectual Property area, the successful candidate must be willing and able to help attorneys, legal assistants, and others in other areas.
The successful candidate will have excellent computer skills utilizing all aspects of Office 365 and will have excellent attention to detail with superb proofreading skills. Candidates must be able to prioritize and manage a high-volume and diverse workload and thus must be able to handle multiple tasks at one time with exceptional organizational skills. A team player, the candidate must be able to absorb information quickly and adapt to change. Sound judgment and business acumen when interacting with clients, potential clients, guests, coworkers, and other is a must. Certified Legal Secretary designation is a plus.
The salary range at the time of posting is $65,000-$75,000 annually, based upon a full-time work schedule. Actual compensation will be influenced by various factors, including but not limited to employee qualifications, relevant experience, skill sets, training, internal equity, and market data. This position is eligible for an annual discretionary bonus.
