TRAVEL TRADE INTERN, LOS ANGELES - JOB DESCRIPTION

Job title: Travel Trade Intern

Division/Team: USA (The Americas)

Contract type: Internship

Location: Los Angeles (Hybrid: Virtual and In-Person)

Salary/Range: US$18 per hour


CONTEXT: This position is a hybrid role, based two days in the Los Angeles office and remaining days remotely. The intern position works closely with the Travel Trade team. In addition, the role will provide some admin support for the Senior Management Team within the Americas region, as needed.


MAIN PURPOSE: This role will provide support and solutions for the USA Travel Trade team. They will ensure delivery of impactful B2B marketing campaigns and activity, successful trade engagement, and owned channel content to meet the objectives of the US market strategy.


KEY RELATIONSHIPS: Colleagues within the wider Travel Trade and PR/Communications teams within US and Canada; External Stakeholders (US & UK based travel industry including relevant agencies); Internal VB Stakeholders (Agencies, Strategic Partners) in England, Scotland and Wales.


MAIN DUTIES:

Below may be subject to change (increase or change in responsibilities) if organizational and/or market priorities/resources shift:


Travel Trade Team:

Event Management Support:

  • Working with the travel trade team to support the delivery of trade show / exhibitions where VisitBritain coordinate a presence. Tasks will include pre-event communications, database management, assistance with invitation design, liaising with UK & US based supplier partners and administrative support on finance.

Database Management

  • Database Management for Travel Trade - update and maintain Trade contacts in the CRM Database and tag client support for annual evaluation

Online Content Support

  • Working with the Sr. Manager – Western USA, assist in creation of monthly e-newsletters (in ClickDimensions) targeted to the USA Travel Trade subscriber database; Compiling, writing and coordinating content in accordance to the B2B Content Group; source imagery assets and relevant US & UK product offers aligning with our Content Framework strategy, etc.

Management and Team Support

  • Support the Travel Trade team across the US, with marketing, online, sales and administrative duties ranging from market research and intelligence gathering, to sales, administration, finance and execution of B2B marketing activities.
  • Liaison with Strategic Partners and Travel Industry in both the US and UK
  • Organize and attend meetings and events, including booking rooms and ordering catering.
  • Being a central resource for product updates, including organizing information, sharing across appropriate team members, using information for e-newsletters and powerpoint training decks.
  • Assist with projects and campaigns where business needs require


Communications:

  • Additional support provided to Communications division as needed.


Finance:

  • The intern is responsible for all financial administration involving raising Purchase Orders and sales/purchase invoice requests for VisitBritain or partner participation at events
  • Ensure that all financial administration is completed to the highest level of detail incompliance with VisitBritain guidelines


General Office Duties/PA Admin as needed:

  • General assistance to be provided to the Los Angeles and New York teams, as required on various projects, as directed by line manager, including organizing and facilitating operational elements of internal and external meetings.
  • Research restaurants, hotels and meeting venues, make travel bookings.
  • Assist with cash and credit card reconciliations monthly.
  • General admin assistant duties such as mail distribution and ad-hoc project support, where required.


Person Specification: Essential knowledge, skills and experience requirements

  • Excellent research & writing skills, with strong attention to detail
  • Knowledge of IT including, but not limited to, Excel, Word, PowerPoint, Outlook, Adobe Acrobat, Photoshop and database management, CRM and CMS management.
  • Experience with crafting content for key social media platforms – Twitter, Facebook, Instagram
  • Good working knowledge of all social media channels and a passion for being on the cutting edge of new communication trends
  • A passion for the travel industry, a real ‘nose for news’ and general understanding what makes a great media story
  • Strong multi-tasking skills and proven experience in a fast-paced environment
  • Solid organizational skills
  • The ability to work as a team as well as independently and confidently on solo projects
  • Professional demeanor; Confident in business situations and at events
  • Confident communicator who is not shy to ask questions when trying to complete tasks and a willingness to learn
  • Flexibility to undertake other tasks as requested by line manager, which may include working across departments
  • Good networking skills
