Job description

Job Title: Dispatch, Load Planning & Tracking Coordinator

Position Summary: The Dispatch, Load Planning & Tracking Coordinator is responsible for coordinating freight movements, optimizing load assignments, dispatching drivers, and monitoring shipments from pickup through delivery. This role ensures efficient utilization of equipment and drivers while maintaining excellent customer service, regulatory compliance, and on-time performance.

Key Responsibilities

Load Planning

  • Plan and optimize daily and weekly freight loads based on customer requirements, equipment availability, and driver schedules.
  • Maximize truck utilization and minimize empty miles.
  • Coordinate load assignments considering delivery windows, route efficiency, and Hours of Service (HOS) regulations.
  • Analyze freight opportunities and identify backhaul opportunities to improve profitability.

Dispatch Operations

  • Assign loads to drivers and communicate pickup and delivery instructions.
  • Monitor driver schedules and ensure compliance with company policies and transportation regulations.
  • Coordinate with drivers, brokers, shippers, and receivers to resolve operational issues.
  • Manage schedule changes, delays, breakdowns, and other service disruptions.
  • Provide real-time updates to customers regarding shipment status.

Load Tracking & Shipment Monitoring

  • Track shipments using GPS, ELD, and transportation management systems (TMS).
  • Monitor load progress from dispatch through final delivery.
  • Proactively identify and address delays or service issues.
  • Maintain accurate shipment records and update tracking systems.
  • Ensure proof of delivery (POD) documents are collected and processed promptly.

Customer & Carrier Communication

  • Serve as the primary point of contact for drivers, customers, brokers, and carriers.
  • Respond to inquiries regarding shipment status, delivery schedules, and service concerns.
  • Build and maintain strong relationships with customers and transportation partners.
  • Provide timely communication regarding exceptions, delays, and corrective actions.

Administrative & Compliance Duties

  • Maintain accurate dispatch logs, load records, and transportation documentation.
  • Verify load information, rates, and delivery requirements.
  • Ensure compliance with DOT, FMCSA, safety, and company regulations.
  • Prepare operational reports related to load performance, on-time delivery, and equipment utilization.
  • Assist with billing support, detention tracking, and load reconciliation.

Qualifications

  • High school diploma or equivalent; post-secondary education in logistics, transportation, or supply chain management preferred.
  • 2+ years of experience in trucking dispatch, load planning, logistics coordination, or transportation operations.
  • Strong knowledge of trucking operations, freight management, routing, and Hours of Service regulations.
  • Experience with Transportation Management Systems (TMS), ELD platforms, GPS tracking, and Microsoft Office applications.
  • Excellent communication, problem-solving, and organizational skills.
  • Ability to multitask and perform effectively in a fast-paced environment.
