SierTeK Ltd. is seeking to fill an Administrative and Technical Support position to support an opportunity at UNMC, NE.

Position Overview Section

This position provides comprehensive administrative, logistical, financial, resource, facilities, information technology, and human resource support to ensure the effective operation of the organization and successful execution of training activities.

The employee will work closely with C-STARS Omaha leadership, course directors, cadre members, students, Air Force organizations, civilian universities, military organizations, and external stakeholders. The successful candidate will be responsible for coordinating day-to-day administrative operations, supporting course execution, managing records and databases, assisting with supply and inventory activities, coordinating agreements, and supporting budgetary and organizational requirements.

The ideal candidate will be highly organized, adaptable, professional, and able to manage multiple priorities in a fast-paced environment.

Essential Job Functions

Administrative and Program Support

  • Provide comprehensive administrative support to all cadre members assigned to C-STARS Omaha.
  • Provide a broad range of administrative support involving medical and non-medical logistics, resources, facilities, systems, and human resource management.
  • Coordinate financial, contract, security, and Information Management/Information Technology (IM/IT) requirements.
  • Review, prioritize, and respond to emails; answer and return telephone calls; organize documents; maintain records; take meeting notes; and perform other administrative duties supporting cadre and organizational operations.
  • Balance workload and provide direction and support to staff on a wide range of administrative matters.
  • Prepare, coordinate, and facilitate staff meetings with the Course Director (CD).
  • Maintain relevant organizational, cadre, and student databases.
  • Maintain accurate records in accordance with applicable record management requirements.
  • Support the implementation of organizational policies, objectives, and initiatives designed to optimize Air Force Medical Service (AFMS) mission support.

Budget and Financial Support

  • Support budgetary operations necessary to sustain the C-STARS Omaha training program and assigned personnel.
  • Assist with formulating, coordinating, and consolidating budgetary strategies.
  • Prepare budgetary briefs and supporting materials for leadership review and approval.
  • Assist with coordinating financial and resource requirements to support organizational priorities and training objectives.

Training and Course Support

  • Support cadre with pre-course, during-course, and post-course administrative activities for student training programs.
  • Prepare and maintain student packets and required course documentation.
  • Coordinate student badge distribution and other access requirements.
  • Coordinate meal orders and other student support activities.
  • Assist with daily course setup, teardown, and resupply activities.
  • Submit end-of-course critiques and required documentation to USAFSAM.
  • Complete administrative actions necessary to support successful course execution.
  • Coordinate and facilitate staff meetings and maintain databases supporting course operations.

Agreements and External Coordination

  • Review and update Training Affiliation Agreements (TAA), Memoranda of Agreement (MOA), and Memoranda of Understanding (MOU) on required annual and five-year cycles.
  • Coordinate agreement updates with civilian universities, military organizations, legal divisions, the United States Air Force, and other stakeholders.
  • Maintain accurate documentation and tracking of organizational agreements and associated requirements.
  • Facilitate informational tours for visiting dignitaries, public organizations, and internal or external visitors interested in C-STARS Omaha activities.
  • Coordinate tour logistics, including parking, meeting rooms, refreshments, schedules, itineraries, and coordination with supporting departments.

Logistics, Supply, and Inventory Support

  • Assist with medical and non-medical logistical supply support for C-STARS Omaha cadre.
  • Assist with processing orders, maintaining stock, and resupplying medical and non-medical logistical items.
  • Monitor inventory and assist with removing outdated or expired items from storage areas.
  • Assist with inventory activities and documentation in coordination with local databases and 55th Medical Logistics at Offutt Air Force Base.
  • Assist with adjusting stock levels as directed and supporting excess material processes and credit returns.
  • Research troubled orders and aged due-ins and identify alternative solutions while maintaining communication with customers regarding order status.
  • Assist with the delivery of supplies, equipment, and furniture to C-STARS Omaha cadre, including outlying buildings and training areas.
  • Assist with coordinating the turn-in of unserviceable medical equipment, supplies, and furniture to 55th Medical Logistics at Offutt AFB.
  • Support the tracking and management of medical and non-medical logistical resources.

Vehicle and Facility Support

  • Assist with the care and maintenance of department vehicle assets.
  • Coordinate vehicle maintenance schedules, fuel requirements, and daily and monthly inspections.
  • Maintain general vehicle cleanliness, including interior and exterior cleaning, washing, and vacuuming.
  • Assist with facilities and resource coordination as needed to support organizational and training requirements.

Operational and Physical Requirements

  • Work in low-light and high-volume environments and under varying weather conditions that may simulate actual aeromedical evacuation mission environments.
  • Perform a combination of sedentary duties and light to moderate physical activities.
  • Regularly perform activities such as walking, standing, reaching, bending, and moving items.
  • Work periodically on hard surfaces.
  • Lift and move Human Patient Simulation (HPS) equipment between rooms and training areas.
  • Lift, carry, or otherwise handle items weighing up to 51 pounds, with occasional encounters involving items greater than 51 pounds, in accordance with applicable NIOSH guidance.

Minimum Position Requirements

  • Bachelor's or Master's degree in Administration, Business Administration, Public Administration, or a related field.
  • Minimum of two (2) years of experience in administration or a related field.
  • Demonstrated ability to establish and maintain effective working relationships and represent the organization in a professional manner.
  • Strong organizational skills and the ability to support a stable and effective workforce.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficiency with Microsoft Office 365 and cloud-based productivity applications, including:
    • Microsoft Word

  • Knowledge and understanding of applicable Air Force and professional standards.

  • Ability to execute and maintain a company Non-Disclosure Agreement (NDA) due to potential access to confidential, proprietary, and sensitive information.
