Job description

General Summary
The Benefits Analyst supports the administration, compliance, analysis, communication, and continuous improvement of the Company's employee benefit programs. This role partners with the Benefits Manager, internal stakeholders, consultants, and external vendors to ensure associate benefit programs are administered efficiently, remain compliant with applicable federal, state, and local regulations, and provide a competitive and engaging employee experience.
The Benefits Analyst serves as a subject matter expert for health and welfare benefits, retirement programs, leave and time away policies, wellness initiatives, and educational assistance programs. This position is responsible for benefit data analysis, vendor and plan administration, compliance reporting, associate communications, and support of strategic benefit initiatives that attract, retain, and engage associates.
Principal Duties & Responsibilities
Health & Welfare Benefits Administration
• Administer and support Company-sponsored health and welfare benefit programs including medical, prescription drug, dental, vision, life insurance, disability, flexible spending accounts (FSA), health savings accounts (HSA), employee assistance programs (EAP), voluntary benefits, and other employee benefit offerings.
• Serve as primary point of contact for complex benefit inquiries and escalated employee issues, partnering with vendors to ensure timely resolution.
• Monitor benefit plan administration, eligibility processing, enrollments, qualifying life events, terminations, and payroll deductions.
• Conduct regular audits of benefit enrollment data, payroll deductions, and vendor eligibility files to ensure data integrity and compliance.
• Support implementation of new benefit programs, vendor transitions, and enhancement initiatives.
• Coordinate annual benefit plan renewals and work with carriers, brokers, consultants, payroll, finance, and HR teams throughout the renewal process.
• Prepare and analyze benefit utilization, enrollment, participation, and cost reports to identify trends and recommend improvements.
• Assist with benchmarking studies and market analyses to ensure benefit offerings remain competitive.
Annual Enrollment & Employee Communications
• Coordinate and administer Annual Enrollment activities, including project planning, testing, associate communications, vendor coordination, enrollment audits, and post-enrollment reporting.
• Develop and maintain benefit communication materials, presentations, FAQs, guides, and educational resources.
• Partner with Corporate Communications to ensure consistent and effective communication of benefits, wellness resources, retirement programs, and time away benefits.
• Promote employee understanding and engagement through benefit education campaigns, webinars, meetings, and training sessions.
• Support ongoing communication strategies to increase participation and maximize value of Company-sponsored benefit programs.
Retirement & Financial Well-Being Programs
• Support administration of the Company's 401(k) and other retirement savings programs.
• Partner with recordkeepers, trustees, payroll, and third-party administrators to ensure accurate and timely processing of contributions, loans, distributions, enrollments, and eligibility changes.
• Assist in monitoring retirement plan compliance and support annual audits, nondiscrimination testing, and required reporting activities.
• Coordinate employee education efforts related to retirement readiness, financial wellness, and savings opportunities.
• Analyze participation and contribution trends and provide recommendations to improve associate engagement and plan utilization.
Time Away Programs
• Serve as subject matter expert for Company paid time off, vacation, sick leave, personal leave, holiday, bereavement, and other time away programs.
• Ensure compliance with federal, state, and local leave requirements including paid sick leave and paid family leave regulations.
• Partner with Leave Administration vendors and Human Resources teams to support Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), military leave, and other protected leave programs.
• Assist with development and maintenance of leave policies, procedures, and employee communications.
Wellness & Well-Being Programs
• Coordinate and implement wellness and well-being initiatives designed to support associate health, engagement, and productivity.
• Plan and organize wellness events, health screenings, educational campaigns, financial wellness programs, and employee engagement activities.
• Manage wellness vendor relationships and monitor program participation and effectiveness.
• Analyze wellness program metrics and recommend opportunities to improve employee participation and outcomes.
Compliance & Governance
• Support the Company's compliance obligations for associate benefit and retirement programs.
• Coordinate preparation, review, and distribution of required associate benefit notices and disclosures, including Summary Plan Descriptions (SPDs), Summaries of Benefits and Coverage (SBCs), annual notices, and other legally required communications.
• Partner with consultants, legal counsel, auditors, and vendors to ensure compliance with ERISA, ACA, HIPAA, COBRA, Internal Revenue Code requirements, and applicable federal, state, and local regulations.
• Support annual compliance filings, including but not limited to:
o Form 5500 filings
o PCORI filings
o Health & Welfare Plan filings
o Severance Plan filings
o Nondiscrimination testing support
• Monitor regulatory changes affecting benefits and retirement plans and provide recommendations regarding required actions.
Projected Salary Range: $81,000-$95,000/yr
