JOB DESCRIPTION and RESPONSIBILITIES

The Tenant Services Coordinator works under the direct supervision of a Property Manager and/or Senior Property Manager to implement policies, procedures, and programs that will ensure well-managed, well-maintained facilities, consistent with regulatory requirements, placing maximum emphasis on securing a positive response to concerns and needs of the client and customer while increasing the value of a defined portfolio of properties. Specific responsibilities include: 

  • Develop and maintain positive tenant relations by creating and sustaining good will between landlord and tenant by providing consistently responsive quality services. 
  • Assess tenant satisfaction and creates/implements action plans to improve this metric.
  • Monitor and report regulatory compliance concerns to the Property Manager.
  • Collaborate on preparation and administration of operating and capital budgets, manage expenses to ensure that the property meets or exceeds budget expectations, and develop monthly reports documenting the results. 
  • Work with property accounting team on accounts receivable, accounts payable, related financial analytics and lease administration. 
  • Contribute to preparation of a monthly report to client, as well as be responsible for other necessary reports, forms, and required documents. 
  • Implement internal departmental policies and procedures and customize application to portfolio. 
  • Secure appropriate bids, negotiate, and administrate service contracts.
  • Monitor vendor performance with authority to recommend necessary changes if performance metrics are not met.  
  • Maintain tenant files, including lease documents, certificates of insurance, and other required documents and notices.

  • Oversee workorder software, receive maintenance requests and ensure timely resolution, including responding to after-hours emergencies. 
  • Coordinate and assist with tenant move-ins and move-outs.

EDUCATION AND EXPERIENCE

  • High school graduate. Associate's or Bachelor's degree is preferred. 
  • Commercial Property management, facilities management, and/or brokerage experience or equivalent preferred.
  • Proficient with Microsoft Office Suite. Experience in Yardi Property Management software preferred. Experience with MLS platforms and other real estate databases (CoStar, LoopNet).

ALLOCATION OF TIME

  • Client / Project Work – 90% 
  • Administrative – 10%
