Specialized Services Administrative Assistant (Temporary Leave)
South Holland School District is seeking a qualified, detail-oriented professional to serve as a long-term leave replacement for the Department of Specialized Services.
The ideal candidate will possess strong administrative, clerical, organizational, communication, and technology skills. The candidate should be able to maintain confidentiality, and provide efficient support to the Department of Specialized Servivces.
ASSIGNMENT DATES: As soon as possible, August, 2026 through the 2027 school year
REPORTS TO: Director of Specialized Services
JOB GOALS: To ensure effective and efficient program operations by providing clerical and administrative support.
EVALUATION: Performance of this job will be evaluated annually in accordance with provisions of the Board's policy on evaluation of classified personnel.
TERM OF EMPLOYMENT: 12 Month Employee; daily pay of $170.00
QUALIFICATIONS:
  • High School Diploma
  • A minimum of 2 years of successful office experience.
  • Possess knowledge of all types of office equipment operation and accepted office procedures.
  • Demonstrates a high degree of computer literacy, particularly word processing and spreadsheet programs.
  • Demonstrates a high level of competency in producing professionally finished documents.
  • Reflects a courteous and favorable impression of the local school district.
  • Demonstrates flexibility in routine processes to ensure support is provided efficiently and effectively.

DUTIES AND RESPONSIBILITIES:
  • Exhibits a professional attitude and demeanor at all times in dealing with the Board of Education, school administration, other employees, parents, students, and the public.
  • Maintains confidentiality of sensitive information and material when dealing with programs under Specialized Services.
  • Follows district chain of command.
  • Maintains and improves knowledge and skills to promote proficiency in the operations of the department.
  • Participates in professional development as deemed necessary by the Director of Specialized Services.
  • Analyzes urgent situations and exercises judgment in taking effective action when dealing with parents, students, and staff.
  • Exhibits time on task, and a flexible, cooperative, and progressive attitude.
  • Assists with data collection for local, state, and federal reporting.
  • Keeps accurate records and documents for department programs: Special Education, PreK, ELL, and Youth In Care.
  • Maintains professional calendars for the Director of Specialized Services and department programs.
  • Receives, logs, and delivers telephone, verbal, and written messages.
  • Maintains files for individual students served in Specialized.
  • Maintains close communication with district personnel, related service providers, and outside agencies.
  • Processes all correspondence, reports, general communications, and purchase orders for the program director, special education teachers, therapist, and school psychologist.
  • Coordinates teacher and related service requests for materials.
  • Serves as a support and resource for all programs related to specialized services.
  • Schedules and coordinates onsite evaluations through contracted services requests for materials.
  • Supports operation of pertinent student data systems: ISBE, SIS, I-STAR, PowerSchool, PCG.
  • Collects and enters preschool entry and exit data.
  • Processes records requests for transfer students.
  • Establishes and maintains calendars for annual review dates, eligibility dates, and evaluation dates.
  • Prepares materials and room set-up for training, meetings, workshops, conferences, and other visits.
  • Coordinates facilities, room reservations, refreshments, and AV requests for training, meetings, workshops, conferences, and other visits.
  • Maintains contact with third-party billing agent for Medicaid reimbursement and processes information or requests as the point of contact.
  • Maintains files for individual students in compliance with Medicaid reimbursement guidelines.
  • Reports on and tracks program expenditures.
  • Assists Director during all phases of compliance reviews.
  • Compiles reports, memos, agendas, and meeting notes for district meetings.
  • Assists other district office personnel as needed.
  • Provides support as needed as a substitute for other clerical staff in the district office.
  • Other duties as assigned.
