Substitute Secretary/Receptionist

Blue Springs School District 2026-2027 School Year

Position Summary: The job of Substitute Secretary/Receptionist is done for the purpose of providing temporary and as needed support to the educational process with specific responsibilities for providing secretarial services at assigned site; performing essential administrative and secretarial tasks to ensure the smooth operation of an office, as well as a friendly environment for students, staff, and patrons.

Essential Functions:

  • Greet and assist students, parents, staff, and visitors; answer phones and direct calls; disseminate information.
  • Operate standard office equipment, sort and distribute mail, and maintain confidentiality of information.
  • Compose and transcribe correspondence, manage messages, and communicate with internal and external parties.
  • Input data into computer systems, manage files, and maintain accurate records.
  • Assist with coordination of daily workloads, scheduling, and other duties as assigned by supervisors to support the office or department.
  • Strong people skills for interacting with diverse populations and clear written communication.
  • Ability to use computers, office, software, and various digital tools for data entry and document preparation.
  • Ability to manage tasks, prioritize workloads, and maintain efficient office flow.
  • Accuracy in data entry, record keeping, and document processing. Maintain an elevated level of discretion when managing sensitive information.

Other Functions:

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Minimum Qualifications: Skills, Knowledge, and Abilities

Skills are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating equipment used in industrial maintenance including electrical cleaning equipment, common tools, etc.; adhering to safety practices; and usage of cell phone. Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read and follow instructions; and understand multi-step written and oral instructions. Specific knowledge-based competencies required to satisfactorily perform the functions of the job include methods of industrial cleaning; and safety practices and procedures. Ability is required to schedule activities; collate data; and consider a number of factors when using equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using standardized methods. Ability is also required to work with a wide diversity of individuals; work with specific, job-related data; and utilize a variety of job-related equipment. Some problem solving may be required to identify issues and select action plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited to moderate. Specific ability-based competencies required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; meeting deadlines and schedules; working as part of a team; and working with constant interruptions. Responsibility: Responsibilities include: working under direct supervision using standardized procedures; providing information and/or advising others; operating within a defined budget. Work Environment: The usual and customary methods of performing the job's functions require the following physical demands: significant lifting, carrying, pushing, and/or pulling, some climbing and balancing, frequent stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 70% sitting, 10% walking, and 20% standing. The job is performed under temperature extremes and under conditions with some exposure to risk of injury and/or illness. The noise level in the work environment is usually moderate to loud.
