Job description

This position will be working in a facilities management firm for an in-house technical firm! This position will the main point of contact for the office managing phones, as well as conference room schedules. Position will be working full-time M-Friday 8-5 beginning on a temporary basis, with potential for hire.

What will I be doing?

  • First point of contact by phone and in person
  • Assisting callers with inquiries or concerns
  • Scheduling multiple conference rooms
  • Ensuring conference rooms are set for meetings and will work for meeting needs
  • Sending overnight packages
  • Ordering office and kitchen supplies
  • Managing inventory of supplies
  • Ensuring kitchen and front office areas are well-kept
  • Distributing calls to appropriate staff for leasing
  • Scheduling meetings for many teams
  • Assisting with company events
  • Preparing correspondence
  • Providing back up to other admin staff
  • Coordinating catering for on-site meetings and events
  • Ordering office supplies
  • Maintaining files
  • Providing high level service to both internal and external clients
  • Preparing presentation materials as needed
  • Assisting with various specialty projects for the Office Manager
