Operations Coordinator

Position Type: Full-Time | Hourly (Non-Exempt) | Temp-to-Perm


Pay: $19-$20/hour + monthly car allowance


Schedule: Average of 37.5 hours per week with rotating shifts between:

9:30 AM - 6:00 PM

11:30 AM - 8:00 PM

Shift: Schedules may vary based on operational and staffing needs. Flexibility is required. Occasional after-hours communication may be required to support urgent operational needs.

Location:Based in Casselberry, FL | Supporting clients throughout Central Florida, including Seminole, Orange, West Volusia, Osceola, Lake, and Polk counties.


Position Overview

The Operations Coordinator supports the daily field and office operations of Exclusive Cleaning Services by helping ensure staffing coverage, communication, quality support, and operational follow-through across multiple job sites.


This is a hands-on role that requires strong communication, organization, flexibility, and responsiveness in a fast-paced service environment. The Operations Coordinator works closely with leadership, recruitment, field staff, and team leads to help maintain service quality, address operational issues, and support day-to-day field operations.


This role includes a combination of office coordination, field support, staffing communication, site visits, and operational documentation. The ideal candidate is dependable, adaptable, calm under pressure, and comfortable working in both office and field environments.


This is not a traditional office-only position. The Operations Coordinator is expected to work both in the office and in the field, including site visits, operational support, and field coordination as needed to help ensure smooth day-to-day operations.


This position reports directly to the general manager.


Key Responsibilities

Operations Coordination

  • Maintain awareness of staffing and scheduling needs and communicate operational coverage concerns promptly.
  • Respond promptly to callouts and assist with coordinating staffing adjustments and operational communication.
  • Support the General Manager in day-to-day field operations and logistics.
  • Conduct site visits as directed to observe performance, verify quality, and document findings.
  • Assist with communication between field teams and the office regarding supplies, attendance, and operational needs.

Field Support

  • Participate in training follow-ups and reinforce company policies and standards alongside the Training & Field Support team.
  • Provide field support during operational or staffing emergencies when needed.
  • Maintain visible field presence through site visits, operational support, and quality follow-up.

Supply & Logistics

  • Track supply deliveries, ensure they reach assigned accounts, and report discrepancies promptly.
  • Monitor equipment usage and report missing or damaged items.
  • Collaborate with the administrative team to ensure accurate supply billing and documentation.

Client & Team Communication

  • Support communication between field employees, Team Leads, and leadership regarding routine operational matters.
  • Escalate client or employee concerns to management in a timely and professional manner.
  • Document and communicate client feedback promptly to management for review and resolution.
  • Represent ECS professionally during all client, team, and field interactions.

Administrative Coordination

  • Submit Weekly Account Review Reports every Friday summarizing site observations, quality concerns, staffing updates, and follow-up needs.
  • Assist with attendance tracking, schedule updates, and operational reporting.
  • Maintain organized operational documentation in CleanSmarts and Google Drive.
  • Communicate supply, staffing, and operational concerns to leadership in a timely manner.


Skills, Knowledge, and Abilities (SKAs)

Required

  • Minimum of 1-2 years of experience in janitorial operations, facility services, or related field support role.
  • Bilingual in English and Spanish.
  • Strong communication and organizational skills.
  • Ability to multitask, prioritize, and adapt quickly to changes.
  • Reliable transportation and willingness to travel between sites across Central Florida.
  • Comfort using mobile apps and digital reporting tools (e.g., CleanSmarts, Google Workspace).
  • Ability to remain organized and calm in fast-paced or changing environments.
  • Strong follow-through and sense of urgency.
  • Ability to work independently, take initiative, and help improve operational processes in a fast-paced environment.
  • This role requires flexibility, adaptability, and the ability to shift priorities quickly in response to operational needs.
  • Comfortable working in both office and field environments throughout the workday.
  • Ability to communicate professionally and remain solution-oriented under pressure.


Preferred

  • Prior experience in field coordination, maintenance, or operations support.
  • Knowledge of commercial cleaning procedures and safety protocols.
  • Strong interpersonal skills with the ability to motivate and build rapport with diverse teams.

  • Pre-employment background check and drug screening may be required based on client or operational requirements.
