Job Description

The Associate Director, Investment Operations, leads the day‑to‑day execution across core operation workflows, including reporting, invoice reconciliation, and resource management. This role also includes oversight and development of direct reports.

Responsibilities
  • Drive a culture of data‑driven decision making that will improve operational efficiency through cohesive process, training, and automation.
  • Oversee invoice reconciliation across all investment channels, ensuring consistency, accuracy, and timely delivery.
  • Standardize reconciliation processes and establish best practices/benchmarks across teams and channels. Monitor delivery against these benchmarks and address issues.
  • Manage relationships with reconciliation teams, ensuring appropriate coverage and alignment to business needs. Facilitate talent/coverage fluidity where needed.
  • Support cross‑training initiatives to build flexibility across teams and reduce reliance on individual contributors.
  • Support Resource Manager with optimizing client utilization and cost management.
  • Assist with the development of client staffing/sourcing needs, providing guidance for optimizing staff and shifting resources across projects to address fluctuating needs across the Practices/teams.
  • Provide actionable analysis and recommendations to support overall operational efficiency drawing on utilization data, skill sets, project needs, roles and responsibilities, media activity, and project spend data. Continually support the "right-sizing" of client projects based on scope and talent required to deliver.
  • Support Resource Manager in partnering with Finance to solve issues across budget and people allocation.
  • Manage development of ad hoc reporting and decks, ensuring outputs are clear, consistent, and actionable.
  • Identify gaps or redundancies across reporting and implement improvements to streamline outputs.
  • Maintain a clear view of all active and ongoing workstreams, ensuring alignment to priorities and timelines.
  • Identify and elevate risks or project issues when needed, while bringing forward potential solutions.
  • Oversee day‑to‑day activities of Supervisors and Associates across Investment Operations, ensuring deadlines are met and work is completed accurately and on time.
  • Mentor Supervisors and Associates with a focus on growth and development, helping them build skills and progress in their careers.
  • Identify process gaps and continually evaluate AI/automated solutions or new tools to create more efficient processes and improve outputs.
  • Build strong relationships with key stakeholders across practices and agency teams, facilitating synergy between Investment, Finance and Talent to streamline operational needs.
Qualifications
  • 5-7 years media experience
  • Strong attention to detail
  • Proficiency in Microsoft Office with an emphasis on Excel
  • Strong collaborator with excellent verbal and written communication skills
  • Excellent critical thinker who is resourceful
  • Demonstrated ability to provide actionable insights
  • Process-oriented self-starter
  • Hands on problem solver with a ‘can-do’ approach (someone who is both a thinker and a doer)
  • Experience with MediaOcean (Spectra & Prisma) & Microsoft Office preferred

Compensation

Compensation Range: USD $97,375.00 – $155,961.00/Annually. This is the pay range the Company believes it will pay for this position at the time of this posting. Consistent with applicable law, compensation will be determined based on the skills, qualifications, and experience of the applicant along with the requirements of the position, and the Company reserves the right to modify this pay range at any time. Temporary roles may be eligible to participate in our freelancer/temporary employee medical plan through a third-party benefits administration system once certain criteria have been met. Temporary roles may also qualify for participation in our 401(k) plan after eligibility criteria have been met. For regular roles, the Company will offer medical coverage, dental, vision, disability, 401k, and paid time off.
