Job description

Design and Production Incorporated is a renowned builder of museum experiences, offering a comprehensive range of specialty services for museums and high-profile institutions. D amp;P’s expertise lies in prefabrication consulting, project management, exhibit engineering, detailing, prototyping, installation, media, and lighting systems. Projects are custom, large scale, complex, multi-year experiences.
WHAT WE’RE LOOKING FOR
The Estimating Coordinator provides administrative and project support to the Project Estimator for museum exhibit projects. This role works cross-functionally with fabrication, operations, and external vendors to gather, organize, and track information needed to develop accurate and timely project estimates. You must be highly organized, detail-oriented and comfortable managing multiple inputs in a collaborative, creative environment.
WHAT YOU’LL BE DOING
Project amp; Estimation Support
  • Assist the Project Estimator in preparing cost estimates for museum exhibit projects
  • Gather and organize project data, including drawings, specifications, and scope details
  • Maintain estimating documents, templates and cost databases
  • Track estimate progress, deadlines and submission milestones
Cross Department Collaboration
  • Coordinate with production, purchasing and project management teams to collect required inputs
  • Follow up on outstanding information to ensure completeness and accuracy of estimates
  • Facilitate communication between departments to clarify scope, materials and labor
Documentation amp; Data Management
  • Compile and format estimate packages and reports in coordination with Project Estimator
  • Maintain version control and organized digital file structures
  • Assist with vendor outreach to obtain pricing, quotes and lead times
  • Enter and update cost information in estimating systems or spreadsheets
Administrative Support
  • Help improve estimating workflows and documentation standards
  • Support scheduling of estimating reviews and internal meetings
  • Assist with post-project cost tracking and reconciliation
WHAT WE’RE LOOKING FOR IN YOUR RESUME
  • 2 years of administrative, project coordination or estimating support experience
  • Strong organizational and time management skills
  • High attention to detail and data accuracy
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Strong communication skills and ability to work across multiple teams
