Position Overview:

The Base Administrator will provide a wide range of various administrative support to the Inland Group of Companies managers and supervisors with a high degree of professionalism, organization, time management, and confidentiality. The Base Administrator will also be the initial point of contact for all potential hires for the assigned station, work with the hiring manager to interview and select the right candidates for the job, work with the Corporate HR Team, and manage the location's Applicant Tracking System (ATS).

Essential Duties and Responsibilities (Including but not limited to):

  • Proactively foster a learning safety culture by modeling a safe work ethic and promoting the value of open reporting and shared safety responsibility;
  • Follow all safety policies, standards, and procedures in order to achieve a safe and healthy work environment for all staff, customers, and visitors;
  • Abide by Inland Group of Companies procedural handbooks, operational plans, and directives of management to ensure that all work is done according to specifications and/or regulations;
  • Answer phone calls, take messages, and field/respond to all routine and non-routine questions;
  • Coordinate office supplies and manage, organize, and issue uniform supplies;
  • Manage the applicant lifecycle from sourcing candidates to the application and interviewing process to the offer letter and onboarding; follows-up with hiring manager. Process new-hire packets, verifying I-9 documents using E-verify, reviewing pre-employment drug screen results, requesting MVRs, and entering new-hire information into payroll system;
  • Establish new-hire employee folders to include new hire paperwork and ensure all employee information is kept up-to-date. Assist in the completion of employee forms, including PAFs, address change forms, W4s, etc., and forward to proper department for processing;
  • Ensure that all proper signatures are obtained;
  • Promote consistent reinforcement and adherence to company mission, values and purpose to instill the core beliefs of our organization to build a positive and respectful work environment;
  • Serve as a site portal admin for online trainings (Inland Hub);
  • Utilize operational analysis, trending, benchmarking, and research to support leadership and your manager with projections for staffing/personnel needs;
  • Utilize metrics analysis to show turnover, retention, etc.;
  • Participate in school vendor fairs, state and national conventions, and other events as necessary, travel as necessary;
  • Maintain a future candidate pool for the station when currently at the correct capacity; Track results of recruiting sources/efforts and produce associated reports upon request;
  • Work with HR Corporate Recruiter to develop and maintain a Workforce Staffing Plan for the assigned station;
  • Work with the Corporate HR Team to ensure compliance throughout the hiring process;
  • Other duties assigned.

Required Skills and Experience:

  • Must be at least 18 years old;
  • 3-5 years of Recruiting experience is preferred;
  • BS in Business or related study preferred;
  • Self-motivated, goal-oriented individual with strong organizational skills and problem-solving abilities;
  • Ability to work under pressure, prioritize workload, and be self-directed;
  • Excellent computer skills with a working knowledge of Microsoft office programs;
  • Excellent people skills, able to manage and motivate;
  • Thrives working independently, but must be able to work in a team environment on projects;
  • Must have basic knowledge in Human Resources.
  • Excellent verbal and written communication skills with the ability to communicate with all departments within the company, including operations, maintenance, human resources, payroll, accounting, etc.;
  • Ability to maintain accuracy and meet deadlines; must be detail-oriented and organized with the ability to prioritize; and attend/participate in meetings presenting a team player approach;
  • Strong customer service orientation to include increasing customer satisfaction, meeting customer expectations, solving customer problems, soliciting opinions and ideas from customers and responding effectively to the internal customer;
  • Must maintain high level of interpersonal skills to handle sensitive and confidential situations;
  • Position continually requires demonstrated discretion, tact and diplomacy;
  • Work requires continual attention-to-detail in composing, typing and proofing materials, establishing priorities and meeting deadlines;
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands;

Certifications/Licenses:

  • High school diploma or equivalent;
  • Advanced degree a plus, BS in Business or related study preferred;
  • Successful completion of the required airport badging process.

Supervisory Responsibilities:

  • This position has no supervisory responsibilities.

Work Environment:

  • Indoor - warehouse office environment with the potential of remaining seated for extended periods of time;
  • Continuous use of a computer, keyboard, and mouse.

Physical Demands:

  • Position may require the ability to carry, push, pull, and lift up to 25 pounds;
  • Must operate office equipment as needed.

Position Type/Expected Hours of Work:

  • This is a full-time position with a minimum expectation of 40 hours per week.

Travel:

  • No travel is needed in this position.

Security Clearance:

  • Ability to obtain and maintain all security clearances required by Transport Canada or TSA and/or local Airport Authorities;
  • Ability to pass pre-employment background screenings.
