Job description

Our client, a Catholic non-profit in DC, is seeking a Membership Coordinator. You don’t have to be Catholic, but you do have understand and know the Catholic vernacular.


This organization provides a full range of customer-focused support to society members, Board, staff, and consultants in addition to providing administrative support to the General Secretary. The Membership Coordinator demonstrates qualities of organization, knowledge, and effectiveness in all work interactions. The Membership Coordinator is expected to maintain confidentiality in all matters.


DUTIES AND RESPONSIBILITIES


The Membership Coordinator works under the direction of the General Secretary and has significant interaction with Executive Coordinator. Works with various vendors. Occasional overtime and travel may be required.


Hours are 9 a.m. – 5 p.m. with a one-hour lunch break.


Delivers professional-level of customer service to members including:

  • Answering phone calls, emails and website contact forms on a daily basis. All calls/emails are answered on the same day whenever possible or within one business day.
  • Processing all publications orders through fulfillment vendor or in-house shipping (includes phone orders, bulk purchases and returns). All orders are processed into Logistech before 2 p.m. each day.
  • Receiving and processing all member dues payments and scholarship donations. Scholarship letters are sent out at the beginning of Lent, and dues invoices are sent out in April each year. All payments are scanned to bank account within two business days of receipt.
  • Ensuring the website is continually updated, including posting holiday announcements, updating information, creating publications and events, posting items and other required changes.


Creates materials for members including:

  • Producing a quarterly e-newsletter, using supplied text and additional information gathered related to new members, tributes, etc. as needed
  • Producing an annual registration mailer for the convention that is mailed each May
  • Producing materials for membership, conventions, or other events
  • Creating and formatting Varia for Proceedings


Provides administrative support to the General Secretary, including:

  • Updating Board and committee materials in print and online as needed, ensuring proper permissions in online groups
  • Maintaining office equipment and supplies, advising General Secretary when items need to be ordered/repaired/updated
  • Creating correspondence as requested
  • Tracking royalties and requesting payments each quarter
  • Preparing monthly sales and inventory reports for accountant
  • Monitoring in-house and offsite publications inventory/library and advising of low-stock or reordering needs, including management of inbound shipments
  • Preparing and publishing manuscripts in Kindle Direct Publishing on Amazon
  • Managing ISBNs and copyrights for publications
  • Monitoring scholarship applications, corresponding with applicants and preparing materials for committee
  • Conducting research and preparing reports as directed by General Secretary


Education

Bachelor’s degree or equivalent related experience or combination of college-level coursework and related experience.


Experience and Other Elements:

  • Three to five years of relevant experience.
  • Proficiency with Microsoft Office and videoconferencing applications
  • Familiarity with the Adobe Creative Suite
  • Strong verbal and written communication skills
  • Excellent organizational and time management skills
  • Website management experience is a plus
