Job description

Middle School Dara Clerk

Under the supervision of the school principal/designee, the Middle School Dara Clerk is responsible for implementing the grade reporting process and performing duties associated with the master scheduling process. This is a position that requires a high degree of accuracy, accountability, attention to detail, and confidentiality. The principal or designated school administrator reviews work periodically for accuracy and conformance with general instructions.

Minimum Qualifications:

  • High School diploma or GED (must scan and upload to the online application). Education completed outside the United States must be evaluated by an MSDE approved organization.

Experience:

  • Three years of general office experience OR an Associate's degree or equivalent may be substituted for the required work experience. Must be able to keyboard at a moderate rate of speed.

Preferred Qualifications:

  • Experience with Microsoft Office database applications. Experience working in a school setting.

Essential Position Responsibilities:

  • Implements tracking procedures and updates the student information management database per OIT specifications to ensure accuracy, integrity, and confidentiality of student information management system database.
  • Processes and disseminates student schedules, report cards, and interims per software program requirements.
  • Trains school-based faculty on using grading tools.
  • Identifies grade issues and problems in accordance with HCPSS policies and reports to appropriate school personnel.
  • Provides, compiles, and prioritizes reports from numerous databases for various groups and departments, including Federal and State reporting.
  • Provides feedback on software issues or problems that arise in the performance of job responsibilities.
  • Tracks, verifies, and ensures all teachers' grades are properly entered into the grade reporting system.
  • Processes student schedule changes and verify compliance with HCPSS policies.
  • Inputs, maintains, and updates the student master schedule.

Essential Knowledge, Skills, and Abilities:

  • Ability to analyze data.
  • Ability to determine inconsistencies.
  • Ability to resolve data discrepancies and to work independently.
  • Ability to communicate effectively, both orally and in writing, with school administrators, central office personnel, faculty, staff, parents, and students.
  • Excellent organizational and time management skills.
  • Ability to exercise independent judgment in prioritizing and completing requests from school-based staff, central office staff, parents, and students.
  • Proficiency with computer technology in the office setting includes various words processing, spreadsheets, and database software programs.
  • Basic operating knowledge of other office equipment.

Working Hours:

  • The duty day for this position is 7.5 hours, which will include a 30-minute unpaid, duty-free lunch period.

Selection Criteria:

Applicants who meet the minimum qualifications will be included in further evaluation. Interviews will be limited to those applicants who, in addition to meeting the basic requirements, have experience which most closely match the position of qualifications and the needs of the school system.

Employment Information:

Compensation: This is a 10-month per year position in the Howard County Education Association, Educational Support Professionals (HCEA-ESP) employee unit. The current salary range for this position is Grade VIII on the Secretaries and Assistants Salary Scale. Step placement will be in accordance with the salary procedures of the Howard County Public School System and the HCEA-ESP Master Agreement which considers relevant prior experience. Under the Fair Labor Standards Act, this position is not exempt from overtime.

Retirement: Membership in the Maryland State Retirement Agency (MSRA) pension plan is a mandatory condition of employment for all employees who meet the eligibility and membership criteria defined in the State Personnel and Pensions Article and the Code of Maryland Regulations (COMAR). A qualifying employee cannot reject membership, nor can an ineligible employee elect membership. The annual contribution to the pension plan will be 7% of an employee's annual salary.

Pre-Employment Requirements: Professional references will be contacted prior to any offer of employment. Recommended candidates will be required to provide references from current and recent supervisors. All employees, regular and temporary, must be fingerprinted, have a criminal background investigation completed, and successfully complete the Maryland Employment History Review, pursuant to Section 6-113.2 of the Education Article, Annotated Code of Maryland. In addition, some positions will require completion of a physical examination and/or drug testing.
