Rental Coordinator – Contract

Location: Columbus, OH
Job Type: Temporary/Contract – Open-Ended
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Work Arrangement: Onsite

Position Overview

We are seeking a personable, reliable, and organized Rental Coordinator to support rental operations in a busy customer-facing environment. This position serves as the central point of contact for customers requiring short-term wireless communication and security equipment, including two-way radios, mobile broadband, and surveillance equipment.

The ideal candidate will have strong customer service skills, the ability to multitask, and experience coordinating services, equipment, orders, or logistics. Industry experience is not required; however, experience in equipment rental, event logistics, customer service, operations, or a similar fast-paced environment is highly preferred.

This role combines customer service, order management, data entry, inventory control, and hands-on equipment preparation.

Key Responsibilities

  • Serve as the primary point of contact for customers requiring short-term communication and equipment rental services.
  • Consult with customers to understand their specific equipment and communication needs.
  • Prepare quotes, rental contracts, orders, and invoices.
  • Coordinate rental orders from initial customer request through equipment return.
  • Enter and maintain accurate customer, order, and rental information in internal systems.
  • Manage local equipment allocation and maintain accurate inventory and asset records.
  • Coordinate with the company's central Rental Operations Center to source additional equipment when needed.
  • Prepare rental equipment for customers, including charging, testing, labeling, and organizing equipment.
  • Program two-way radios using computer-based programming software, including setting frequencies or channels.
  • Inspect returned equipment and ensure it is properly accounted for, tested, and prepared for the next rental.
  • Load, unload, move, and organize crates and equipment as needed.
  • Communicate effectively with customers and internal teams to ensure rental orders are completed accurately and on time.
  • Maintain a professional and customer-focused approach in a fast-paced operational environment.

Qualifications

  • At least 1 year of experience in customer service, equipment rental, logistics, event operations, administrative coordination, or a similar high-urgency environment.
  • Strong customer service and communication skills.
  • Personable, professional, dependable, and responsive.
  • Excellent organizational and multitasking abilities.
  • Comfortable working with computers and learning specialized software.
  • Strong attention to detail, particularly with orders, inventory, and equipment tracking.
  • Ability to learn basic wireless equipment programming and technical processes.
  • Ability to work independently while coordinating effectively with a larger operations team.
  • Ability to lift and move up to 50 pounds.
  • Willingness to work onsite Monday through Friday, approximately 8:00 AM–5:00 PM.
