Department Description
The Administrative Assistant 2 (Facilities and Security) supports two academic units: the Department of Theatre and Dance and the School of Music. This role books and reserves spaces, schedules all rooms and spaces for productions, including performances, rehearsals, classes, practice, and auditions for both the Department of Theatre and Dance and the School of Music. This role also administers facilities access and security for the two programs (swipe cards, key inventory, key box access, and door combination pads), and works with Access Control for maintenance, tours, and showings of the facilities. The Administrative Assistant 2 (Facilities and Security) administers and schedules preventative maintenance for said spaces, facilities, and material. This includes budgeting for all to ensure safety.

Job Summary
Oversees internal office coordination and administrative support, by serving as the first point of contact in the office. Manages scheduling and event coordination for staff and leadership. Processes invoices, purchase orders, reimbursement, and expense reports while assisting with budget monitoring and financial tracking. Assistant with project and program support on administrative tasks. Assists with new employee onboarding. Performs other functionally related duties as assigned.
Minimum Qualifications
  • High school diploma, GED, or state recognized equivalent.
  • Three (3) years of customer service work experience in an office environment.
  • Experience with budgeting and financial tracking.

Preferred Qualifications
  • Associate degree preferably in business administration or related field.
  • Experience working in higher education.
  • Experience with a purchasing tracking system.

  • Effective written and verbal communication skills, organizational skills, and decision-making abilities.
  • Excellent interpersonal skills and have a "Customer Focus" attitude and delivery.
