Administrative/Procurement Assistant

Power Temp Systems, Inc. is seeking a dependable and detail-oriented Administrative Assistant / Procurement Coordinator to support our Houston operations. This hybrid administrative and procurement support role will provide direct support to purchasing, materials coordination, supplier communication, and production order functions. We are seeking someone with experience working in ERP systems, tracking purchase orders, coordinating with vendors, expediting materials, and supporting manufacturing or industrial operations.

What You Will Do
โ€ข Provide administrative support for purchasing, procurement, and production order activities
โ€ข Track purchase orders and update delivery schedules within ERP systems
โ€ข Communicate with vendors and suppliers regarding order status, shipment schedules, and delivery timelines
โ€ข Assist with expediting materials and resolving delayed or at-risk orders
โ€ข Support purchasing functions including data entry, order updates, supplier communication, and recordkeeping
โ€ข Coordinate with receiving, warehouse, production, and purchasing teams to support on-time material availability
โ€ข Assist with production order processing and scheduling coordination
โ€ข Maintain accurate records within ERP systems and internal databases
โ€ข Generate and distribute reports on open purchase orders, delivery timelines, and material status
โ€ข Answer and direct incoming phone calls
โ€ข Assist with quotes, service contracts, and operational documentation
โ€ข Retrieve, process, and distribute mail and office correspondence
โ€ข Assist with accounting-related tasks as needed
โ€ข Support project coordination and other office functions as assigned
What We Are Looking For
โ€ข Prior experience in purchasing, procurement, expediting, materials coordination, inventory control, supply chain support, production planning, or administrative support within a manufacturing or industrial environment
โ€ข Experience tracking purchase orders, coordinating with suppliers, and maintaining delivery schedules strongly preferred
โ€ข Experience working within ERP systems such as P21, SAP, Oracle, NetSuite, JD Edwards, Dynamics, Epicor, Sage, or similar software preferred
โ€ข Experience supporting manufacturing, industrial, warehouse, electrical, production, or distribution operations preferred
โ€ข Strong organizational and multitasking abilities
โ€ข Ability to manage changing priorities and deadlines in a fast-paced environment
โ€ข Strong communication and customer service skills
โ€ข High attention to detail and accuracy
โ€ข Proficiency with Microsoft Office applications including Outlook, Excel, and Word
โ€ข Ability to work well independently and as part of a team
