Job description

Overview
This role serves as the first point of contact for visitors, clients, and employees while providing administrative support to ensure the office operates efficiently. The Receptionist is responsible for managing front desk operations, handling incoming calls and deliveries, maintaining office and conference room organization, supporting office supply and facility needs, and assisting with clerical and administrative projects. This position requires strong organizational skills, professionalism, the ability to maintain confidentiality, and a customer-service mindset when interacting with employees, vendors, and guests.
Note, this role is temporary to permenant based off initial performance
Responsibilities
1. Phone coverage (screen and route calls)
2. Greet visitors and guests
3. Maintain conference room calendar and help manage seating charts for the office
4. Maintain the reception desk, closet and hallways - tidy and stocked
5. Receive, sort and distribute USPS Mail/FedEx/UPS/Courier deliveries
6. Assist with ground transportation for guests, when necessary
7. Ad hoc research and clerical projects, word processing/data entry
8. Assist in ordering supplies for the office
9. Keeps current with market trends and demands.
10. Stocking and maintaining supply rooms and cafe. Light cleaning of cafe equipment
11. Performs other functionally related duties as assigned.
12. May be required to work overtime as assigned.
Qualifications
Required:
• 1+ years in a receptionist or administrative role required
• High level of professional conduct
• Ability to interact with and assist all levels of employees and visitors
• Ability to work in a confidential nature
• Microsoft Office Suite Skills, including Excel proficiency
• General analytical, organizational, and coordination skills
Preferred:
• Bachelor's Degree, preferred
• Experience working in Commercial Lines of Insurance
