About the Role:The Contracts Specialist, Medical Affairsrole supports the end-to-end contracting process for Medical Affairs and key cross-functional partners. This role is responsible for coordinating contract requests, facilitating reviews and approvals, maintaining contract documentation, and ensuring agreements are processed accurately, efficiently, and in compliance with corporate policies and regulatory requirements.
The Specialist serves as a primary point of contact for Medical Affairs stakeholders throughout the contract lifecycle, partnering closely with Legal, Procurement, Finance, Compliance, and external vendors to support timely execution of agreements. This position is responsible for monitoring contract workflows, maintaining contract records, tracking milestones, and communicating status updates while helping ensure consistency across contracting processes.
This role requires strong knowledge of Medical Affairs-related contract types - including consulting agreements, master service agreements, confidentiality agreements, speaker and advisory contracts, data and research agreements, and service-based vendor contracts - and applies established processes and guidelines to support compliant contract execution. The Specialist will support process improvements, strengthen documentation standards, and partner closely with Legal to ensure consistent application of contract terms and guidelines. Success in this role requires strong organizational skills, attention to detail, effective communication, and the ability to manage multiple priorities. A polished, professional approach is essential, as the position interacts frequently with internal teams, external partners, and functional leadership.
This is a part-time temporary role, 25-30 hours per week: can be onsite Monday-Thursday or Tuesday -Thursday - this is a 6-month temp assignment with the possibility of extending. Hours may increase as we continue to grow.

Your Contributions (include, but are not limited to):
  • Coordinates the full lifecycle of Medical Affairs contracts, supporting timely processing, accuracy, and adherence to compliance and legal standards

  • Serves as the operational owner for Medical Affairs contracting workflows-tracking requests, managing submissions, monitoring progress, and ensuring successful execution

  • Partners with Medical Affairs, Legal, Procurement, Finance, and Compliance to secure required approvals and ensure alignment with corporate policies

  • Coordinates contract intake and triage, clarifying requirements with stakeholders and advising on appropriate contract types, processes, and timelines

  • Supports maintenance of templates and process documentation in collaboration with Legal and other cross-functional partners

  • Ensures contract terms, scopes of work, deliverables, and financial elements are appropriately defined and cross-checked prior to submission

  • Maintains contract records, documentation, and tracking mechanisms across all agreements to support operational visibility, reporting, and audit readiness

  • Supports Medical Affairs leaders with contract planning, forecasting, and prioritization to meet business needs

  • Identifies opportunities to improve contracting workflows and contributes to process improvement initiatives to streamline workflows, enhance user experience, and strengthen governance

  • Prepares status updates, dashboards, and contract cycle analytics for leadership and business partners

  • Upholds a high standard of professionalism and ensures all interactions reflect the values and expectations of the Medical Affairs organization

Requirements:
  • BS/BA degree and 2+ years of relevant experience in contract management, legal operations, procurement, administrative operations, or a related function within pharmaceutical/biotech or a related regulated industry OR

  • Master's degree and some related experience OR

  • 2+ years of experience in contract operations, legal support, or related functions; experience supporting Medical Affairs preferred

  • Working knowledge of contract types common to Medical Affairs, including consulting/fee-for-service agreements, confidentiality agreements, MSAs, research agreements, and event/services contracts

  • Demonstrated experience working with Legal, Compliance, and Finance teams to ensure contract accuracy and alignment with corporate policies

  • Familiarity with contract lifecycle management (CLM) systems, document management tools, workflow trackers, and routing platforms

  • Ability to interpret contract language, identify risks, and communicate required revisions or clarifications with appropriate stakeholders

  • Excellent organizational and project coordination skills with a track record of managing high-volume, time-sensitive workflows and competing deadlines

  • Strong analytical skills and comfort interpreting process metrics or operational KPIs

  • Exceptional professionalism with strong written and verbal communication skills

  • Proficiency with the Microsoft Suite, including Excel, Word, PowerPoint and Outlook

  • Ability to work independently while escalating issues appropriately and seeking guidance when needed

  • High attention to detail and commitment to accuracy, documentation standards, and compliance expectations

  • Demonstrated customer service mindset with a collaborative, solutions-oriented approach

The pay you should reasonably expect to receive is $45.00 - $55.25 per hour. Decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills.
