Role Overview

The Carapella Herschenfeld Team is looking for an Operations Manager & Junior Agent to run point on the systems that keep a luxury sales team on track - while also getting hands-on experience as an agent. 

This is a true hybrid role: part operations & business development engine, part active agent. It's built for someone early in their real estate career who wants to learn the business from the inside out, working directly alongside two top-producing agents.

You'll own the systems used to manage listings (from launch to close), own the sales pipeline, and serve as a liaison with the marketing team on full-funnel initiatives. The role includes keeping our social media and newsletter running on a consistent cadence; supporting showings, open houses, and client-facing work as needed. 

Responsibilities 

Sales Operations & Pipeline Management:

  • Lead and oversee sales operations and pipeline management 
  • Maintain transaction records from contract to closing/payout
  • Track commissions, splits, and reimbursements; flag anything stuck in the pipeline
  • Monitor deals against team sales goals and surface at-risk timelines
  • Own the closings tracker and keep it current for team visibility

Marketing & Content:

  • Lead, develop, oversee marketing strategy for the team 
  • Plan and post social media content (Instagram, LinkedIn) on a consistent weekly cadence
  • Draft and produce the monthly team newsletter (copy, layout, scheduling via ActivePipe/ReChat)
  • Design collateral in Canva (brochures, postcards, show sheets, just-listed/just-sold assets)
  • Review marketing spend against the team's annual budget
  • Oversee the team's website 

Listings & Transaction Support

  • Project-manage listings from pitch to close 
    • Pull comps reports 
    • Draft listing agreements, exclusives, and building fact sheets
    • Coordinate photography, floorplans, and virtual staging with vendors
    • Activate new listings across RealPlus and StreetEasy
  • Track listing status (upcoming, live, in contract, closed) in the team's master progress tracker
  • Maintain seller reports with up-to-date comps, marketing spend, and showing feedback for each listing
  • Support due diligence packages, deal sheets, and board application materials

Showings & Client-Facing Work:

  • Cover showings and open houses for the team as schedules require
  • Manage rental client searches (spreadsheets, budget-based sourcing, applications)
  • Field buyer/renter leads and keep client communication moving
  • Support testimonial outreach and client touchpoints (drip campaigns, check-ins, referral follow-up)

General Operations & Admin:

  • Manage vendor relationships (photographers, stagers, printers, marketing partners)
  • Handle team admin: invoicing, transaction records, expense/reimbursement submissions, platform logins/access
  • Support broader initiatives as they come up (CRM evaluation, new tool rollouts, client gifting, team events)

Who we're looking for & Qualifications:

Required 

  • Attention to detail - crucial 
  • Highly organized, comfortable owning multiple workstreams and deadlines at once
  • Strong written & verbal communication - this role does real copywriting (newsletter, social, client outreach)
  • Comfortable learning new software quickly (the team uses RealPlus, StreetEasy, SkySlope, ActivePipe/ReChat, Canva, and more)
  • Willingness to obtain an active NY Real Estate Salesperson license within a few months of starting (timing to be discussed directly with Team Leads)
  • Proactive & Intuitive - able to spot what needs attention and act without waiting to be asked

Nice to Have 

  • Prior experience in real estate, hospitality, sales support, or an operations-heavy role
  • Familiarity with listing platforms (StreetEasy, RealPlus/RLS, Nooklyn) or transaction management tools (SkySlope), familiarity with AI tools 
  • Social media content creation or basic design experience (Canva or similar)
  • Initiative & a team spirit 

Compensation:

  • This is a 1099 employee role 
  • Salary: $50,000 Base + Commission 
  • Commission split on any deals sourced or closed independently to be negotiated 
  • License-track support
