IT, Project Coordinator
Department: Information Technology
Direct Supervisor: Senior IT Project Manager
Status: Full-time
Summary:
The IT Project Coordinator will support the planning, organization, and execution of technology and event-related projects across multiple business units and large-scale events. This role will work closely with the Sr. Project Manager to maintain project documentation, coordinate operational logistics, support event technology initiatives, and ensure project deliverables are completed on time. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.
Location:
  • This is a full-time position based on site at Hard Rock Stadium in Miami Gardens, FL.
Responsibilities:
  • Maintain accurate project records by updating project tasks, timelines, reporting, and status updates in project management software
  • Follow established processes and workflows
  • Work closely with cross-functional teams to integrate new technologies into existing processes and products
  • Coordinate with internal departments and external vendors to ensure timely completion of assigned tasks
  • Assist with event day vendor management including, arrival logistics, parking access, meal vouchers, uniforms, and related operational needs
  • Track project milestones, risks, issues, and dependencies
  • Maintain communication with Site Operations leads regarding event load-in and load-out schedules and requirements
  • Assist with event-day technology troubleshooting and operational support as needed (Biometric, QR code, and RFID devices)
  • Assist with warehouse coordination and inventory management for all related technology assets
  • Assist in vendor coordination and contract tracking
Qualifications:
  • Bachelorโ€™s degree preferred in Project Management, Information Technology, Event Management, or related field (or equivalent experience)
  • 1โ€“2 years of experience in project coordination, event operations, technology support, or related roles preferred
  • Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite and project management platforms such as Wrike is preferred
  • Ability to work collaboratively with cross-functional teams and external vendors
  • Strong attention to detail and problem-solving skills
  • Self-motivated with a collaborative mindset and willingness to learn in a team-oriented environment
