Responsibilities 

Provides logistical, administrative, and procurement support for ship maintenance and operational readiness by coordinating maintenance services, processing requisitions, developing execution plans for assigned work, and ensuring the timely delivery of parts and services to vessels. Proactively monitors and follows up on outstanding purchase orders, cabin requests, and other operational requirements to support uninterrupted ship operations. Serves as a key point of contact for ship technical matters, providing support for technical issues, audits, inspections, surveys, and compliance-related activities as needed. Collects and analyzes technical performance data, tracks operational issues and corrective actions, and provides recommendations to support maintenance planning and long-term operational objectives. Collaborates with shipboard and shore-side teams to resolve maintenance needs, coordinate resources, and drive continuous improvement through enhanced reporting, process optimization, and data-driven decision-making. 

Essential Functions: 

  • Ship Maintenance Coordination: Provides logistical, administrative, and procurement support for ship maintenance activities, including developing execution plans for services, coordinating maintenance requirements, processing approved requisitions, and ensuring the timely delivery of parts and services.  

  • Procurement and Operational Follow-Up: Assists with annual planning and budgeting activities, maintenance tracking, weekly operational meetings, and the identification and coordination of service providers.  

  • Technical Operations Support: Serves as a key resource for ship technical matters by coordinating issue resolution, supporting vessel maintenance activities, and providing assistance during ship visits, audits, inspections, surveys, and other regulatory or compliance-related reviews. 

  • Compliance and Deficiency Tracking: Maintains oversight of Conditions of Class (CoC), Statutory Deficiencies (SD), Actionable Items (AI), and other technical findings by monitoring tracking systems, maintaining records, and preparing recurring reports and updates to ensure timely resolution and compliance. 

  • Operational Logistics Coordination: Collaborates with shared services, shipboard teams, and external vendors to coordinate cabins, riding teams, technical services, and other resources required to support maintenance projects and ship operational needs. 

  • Data Analysis and Reporting: Collects, analyzes, and reports technical performance data to support shipboard operations, identify trends, and provide insights that assist in maintenance planning, decision-making, and long-term operational improvements. 

  • Continuous Improvement: Supports process improvement initiatives by identifying opportunities to streamline workflows, reduce manual tasks, improve communication, enhance reporting capabilities, and leverage data analysis and automation tools to increase efficiency and effectiveness. 

Qualifications: 

  • Associate's or Bachelor's degree in Business Administration, Supply Chain Management, Maritime Operations, Engineering, Project Management, or a related field preferred. 

  • Equivalent combination of education, training, and relevant work experience may be considered. 

  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook. 

  • Experience working with procurement, maintenance management, reporting, or tracking systems preferred. 

  • Ability to travel domestically and internationally, including ship visits, as required. 

Experience: 

  • Minimum of 3-5 years of experience in operations, logistics, procurement, project coordination, maintenance support, or a related field. 

  • Experience coordinating multiple projects, vendors, service providers, and operational priorities simultaneously. 

  • Experience monitoring budgets, processing requisitions, tracking purchase orders, and managing operational documentation. 

Knowledge, Skills, and Abilities: 

  • Strong knowledge of administrative, logistical, procurement, and maintenance of support processes. 

  • Ability to coordinate complex activities involving multiple stakeholders, vendors, and operational teams while meeting deadlines and business objectives. 

  • Strong analytical skills with the ability to collect, interpret, and present operational and performance data in a meaningful manner. 

  • Ability to identify trends, investigate issues, and recommend solutions that improve operational effectiveness and efficiency. 

  • Demonstrated problem-solving skills with the ability to proactively resolve issues related to procurement, maintenance support, scheduling, and resource coordination. 

  • Strong organizational skills and attention to detail, with the ability to manage competing priorities in a fast-paced environment. 

  • Excellent verbal and written communication skills with the ability to build effective working relationships across departments and organizational levels. 

  • Ability to work independently, take ownership of assignments, and follow through on tasks with minimal supervision. 

  • Strong customer service mindset with a focus on supporting operational excellence and ensuring timely resolution of shipboard and shore-side support requirements. 

Physical Demands: Must be able to remain in a stationary position at a desk and/or computer for extended periods of time. 

Travel: 25-50% with shipboard travel likely  

Work Conditions: Work primarily in a climate-controlled environment with minimal safety/health hazard potential. 

This position is classified as “in-office.” As an in-office role, it requires employees to work from the MVAS office in Orlando, Florida Monday through Friday each week. Candidates must be located in (or willing to relocate to) the Orlando area. This position also requires work in the evenings and weekends as necessary.
