What You'll Do

As an Operations Assistant, you'll play a vital role in supporting the day-to-day operations of the New York office, ensuring attorneys, staff, and visitors have a professional, efficient, and welcoming environment. This hands-on role is ideal for someone who is detail-oriented, proactive, and takes pride in keeping operations organized, safe, and running without disruption.
This is a fully onsite role supporting a dynamic, high-performing office environment.
• Mailroom & Shipping Operations: Receive, sort, and distribute incoming and outgoing mail, packages, and courier deliveries; manage certified mail, FedEx, UPS, and courier requests while accurately tracking shipments.
• Office, Facilities & Safety Support: Conduct regular office walk-throughs to assess cleanliness, organization, and functionality; identify hazards and escalate maintenance, facilities, or safety issues as needed.
• Workspace, Event & Move Setup: Set up and break down conference rooms for meetings and events, and prepare workstations for visitors, new hires, office moves, and relocations
• Vendor & Building Coordination: Partner with building management and external vendors to support repairs, maintenance, deliveries, and onsite services, ensuring work meets firm standards.
• Inventory, Supplies & Cost Control: Monitor and replenish office supplies, maintain inventory and operational logs, and support cost-efficiency by minimizing waste and using resources responsibly.
• Hands-On Office & Administrative Support: Perform light cleaning, routine maintenance, furniture assembly or moves, restocking of common areas, and provide copying, scanning, and document distribution support as needed.
What You'll Bring
Education: High school diploma required; associate or technical degree preferred
Experience: At least three years of experience in a high-volume mailroom, facilities, or operations role, ideally within a professional services or law firm environment.
Organization & Time Management: Strong attention to detail with the ability to prioritize multiple tasks and meet tight deadlines.
Communication & Collaboration: Excellent interpersonal, written, and verbal communication skills with a service-oriented, collaborative approach.
Technical & Equipment Skills: Proficiency with standard office equipment and basic computer applications, including Microsoft Office Suite.
Physical Capability & Flexibility: Ability to stand and walk for extended periods, operate a mail cart, lift up to 50 pounds, and adjust work hours or responsibilities as business needs require, including occasional overtime.
Professional Judgment: A polished demeanor, discretion, reliability, and sound judgment in a fast-paced office environment.

The base salary range below represents the low and high end of the salary range for this position in New York City. Compensation Range:
New York City: $44,000 - $67,000
