Job description

Job Summary
Secretary to the Superintendent (240 Day Assignment)
Reports To: Superintendent of Education
Responsibilities:
  • Demonstrates support for the school system and its vision, goals, and priorities
  • Promotes an efficient, well organized administrative office by providing appropriate communication and assistance to the system's administrative staff, teachers, students, and community
  • Prioritizes tasks based on the daily operational needs of the district and the Superintendent's duties.
  • Maintains posting of current job vacancy announcements locally and on the Teach Alabama website
  • Assistants job applicants and substitute inquiries as requested
  • Maintains support application files
  • Prepares and disseminates all correspondence as directed by the Superintendent
  • Maintains Superintendent's correspondence files
  • Maintains Superintendent's daily calendar including the schedule of appointments and meetings
  • Assists with developing the schedule for administrative meetings and monthly individual principal meetings
  • Maintains emergency procedures/contact list and assists with information dissemination in the event of unplanned school dismissal or cancellations; reports to SDE as required
  • Assists certified personnel in the teaching certificate renewal process
  • Assists certified personnel in completing paperwork required for obtaining additional and/or advanced degrees and/or additional certification(s)
  • Works closely with Payroll/Benefits Supervisor to maintain accurate and complete personnel files for all staff
  • Develops timeline and oversees Teacher of the Year Program
  • Assists in the development of staff professional development meetings, Administrative Retreat, New Teacher Orientation, and Institute
  • Develops plans for annual retiree luncheon and system wide retirement reception.
  • Performs clerical assignments and various tasks related to the Board meetings and needs of the Board of Education members:
  • Organizes monthly board agenda
  • Prepares and disseminates board packet information
  • Attends regular and special board meetings and board work sessions
  • Records and maintains Board of Education minutes
  • Disseminates "Board Action/MSCS Newsletter" newsletter to all personnel
  • Assists Board members in meeting and travel arrangements
  • Maintains Muscle Board of Education policies and policy manual
  • Performs other duties as assigned by the Superintendent
Terms of Employment:
  • 240 day contract
  • Salary calculated from Support Staff Salary Schedule based on years of experience
