The Customer Order Entry Specialist plays a critical role in delivering seamless customer experience while supporting daily eCommerce and order management operations. This role blends customer support, order processing, and cross-functional coordination. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced environment.
Key Responsibilities
Order Processing & Management

  • Monitor incoming orders to ensure they are accurately captured and processed.
  • Validate order information and ensure orders are correctly routed into the ERP and fulfillment systems.
  • Track orders from placement through shipment to ensure timely fulfillment.
  • Identify and resolve order discrepancies, processing errors, and system sync issues.
  • Monitor order queues and address exceptions requiring manual intervention.
Returns & Order Adjustments
  • Process returns, refunds, replacements, cancellations, and order modifications in accordance with company policies.
  • Investigate order-related issues and ensure updates are accurately reflected across all systems.
  • Maintain accurate records of order adjustments and exceptions.
Operational Support
  • Monitor fulfillment status and system alerts to identify potential delays or issues.
  • Escalate order or system issues when necessary to ensure timely resolution.
  • Assist in identifying recurring operational issues and opportunities to improve order processing workflows.
  • Support accurate communication between customer service, fulfillment, and operations teams regarding order status and exceptions.
Requirements
Qualifications
Required
  • 1-3 years of experience in order entry, order management, customer operations, or eCommerce support.
  • Strong attention to detail and ability to manage high-volume order processing.
  • Proficiency in Microsoft Excel or Google Sheets.
  • Excellent organizational, time management, and problem-solving skills.
  • Strong computer skills and the ability to learn new software quickly.
Preferred
  • Experience working with ERP or order management systems.
  • Familiarity with fulfillment and shipping workflows.
  • Understanding of system integrations between eCommerce platforms, ERP, and fulfillment systems.
  • Experience with Shopify or similar eCommerce platforms a plus.
