About the role:
The Talent Associate will provide the Equity, Culture and Talent department with operations and administrative support in partnership with department leaders to further the organizational mission. This role would work closely with all team members in the Department to ensure seamless, consistent, predictable and operations adhering to the high expectation of excellence. This role will serve as a key operational partner, specifically to the Talent team, enabling the team to drive sustainable efficiencies, strengthen documentation and redundancy, and enhance administrative and project support.
The ideal candidate will have strong attention to detail, initiative and the ability to execute effectively. Additionally, the ideal candidate will be comfortable working alone and in collaboration with a team. Moreover, the candidate should be comfortable asking questions for clarification of action items. The goal of this role is to support the effectiveness of the ECT department through administrative support and execution.

Salary: $55,000 - $85,000
Responsibilities:
  • Support the creation/revision of Talent internal processes and protocols that allow for equity through transparency and consistency across the organization, including creation and maintenance of Talent Standard Operating Procedures (SOPs)
  • In collaboration with the Equity and Culture Manager, support the process for investigating internal allegations of violations of the organization's policies and violations of the collective bargaining agreement;
  • In collaboration with the Compliance and Benefits Specialist, support the maintenance of the departmental Google drives and documentation;
  • In collaboration with the Director of Talent, support the Department's confidential labor relations work, to include collective bargaining agreement negotiations and compliance with any established collective bargaining agreement;
  • In collaboration with the Equity Culture and Talent Associate, support general payroll preparation and processing to include time card review and finalization, overtime review and time card completion for staff on extended leave;
  • Support the organization in appropriately maintaining and utilizing confidential labor relations information including, but not limited to, the specific responsibilities outlined herein;
  • In collaboration with the Senior Talent Specialist, conduct phone screens for vacant roles, ensuring timely communication between candidates and hiring teams, and complete thorough interview notes, assisting with follow-up communications when needed.
  • Managing candidate logistics including scheduling, communications, and coordination with hiring teams.
  • Prepare salary change notice letters/personnel action forms during the performance evaluation period, and ad hoc throughout the year, and file such documents in personnel files; Track salary and employment status changes;
  • Support the operations and logistics of rolling out new projects, initiatives, and policies;
  • Support the Talent Specialist in managing the intern recruitment process, to include ensuring both internal and external process timelines are met, setting up job posts and interview kits in the applicant tracking system, sharing jobs to external sources, and handling the administrative aspects of intern onboarding;
  • In collaboration with the Talent Specialist, research recruitment sources, including job fairs, and identify partnership opportunities to maintain proactive and inclusive outreach; and
  • Coordinating updates across systems and documentation platforms to ensure alignment between tools (e.g., Greenhouse, Google Drive, onboarding trackers).
  • Assist with onboarding by coordinating with hiring managers to draft welcome emails, prepare onboarding communications, schedule onboarding sessions, and track new hire training during the first two weeks. Additionally supporting the 30/60/90 scheduling and conversation preparation.
  • Assist with updating the applicant tracking systems resource materials to reflect changes in process or organizational priorities.
  • Support the team in updating all internal documents, ensuring they are current, consistent, and easily accessible. This includes the annual compliance documentation and any updates when title changes/updates need to be made across documents
  • Additional duties may be assigned consistent with the responsibilities and qualifications in this job description.
Qualifications:
  • 3+ years of human resources, people operations, or administrative experience. A relevant advanced degree may supplement the required work experience;
  • Demonstrated emotional intelligence and analytical skills;
  • Excellent written and verbal communication skills;
  • Strong interpersonal skills;
  • Highly organized and detail-oriented with the ability to manage and prioritize multiple projects and responsibilities simultaneously;
  • Advanced or proficient use and understanding of Google Suite, to include Google Docs and Google Sheets;
  • Experience with data systems/platforms or demonstrated ability to quickly learn how to use these aforementioned platforms;
  • Creative skills and experience with visual presentations,using platforms like Canva or Google Slides;
  • Proven ability to work with discretion and maintain confidentiality;
  • Strong time management and organizational skills, and ability to consistently meet deadlines;
  • Demonstrated customer service approach to supporting staff in performing their duties;
  • Proven ability to work collaboratively and with transparency;
  • Demonstrated commitment to Reproductive Freedom for All's mission, values, and goals;
