Executive Assistant to SVP Recruiting, Inclusion & Culture and to SVP People Systems and Insights

Description -

This role provides advanced strategic and tactical support to two SVPs in the People Organization, SVP Recruiting, Inclusion & Culture (RIC and PSI) and the RIC and PSI leadership team as well as SVP, People Systems and Insights. The Executive Assistant (EA) operates as a trusted partner, enabling effective execution of the organizational priorities. The EA owns complex calendar orchestration, executive communications, and RIC and PSI governance cadence (e.g., talent reviews, diversity councils, workforce planning, leadership forums). This role coordinates cross-functional engagement with HR, business leaders, finance, legal, and regional talent teams. The EA synthesizes data and insights for executive reporting, prepares high-impact presentations, and manages sensitive people-related information with strict confidentiality. They anticipate needs, drive follow-through, and ensure leadership priorities are executed with speed, precision, and strong stakeholder alignment.

Responsibilities

Executive Support & Operations

  • Provide advanced administrative and operational support to the SVP; recognized as a key partner to the RIC and PSI leadership team.
  • Own end-to-end calendar management: prioritize high-impact engagements, coordinate global and cross-time-zone meetings, and proactively manage leadership cadence (e.g., talent reviews, workforce planning sessions, inclusion forums).
  • Act as a gatekeeper: triage communications, draft executive responses, and manage follow-ups across internal and external stakeholders.

RIC and PSI Governance & Cadence Management

  • Orchestrate leadership cadence across RIC and PSI, including:
    • Talent reviews and workforce planning sessions
    • Strategy and pipeline reviews
    • Leadership team meetings and global forums
  • Ensure high-quality preparation: pre-reads, briefing materials, stakeholder alignment, and action tracking.
  • Drive post-meeting execution by monitoring follow-ups, decisions, and outcomes.

Executive Communication & Content Development

  • Prepare executive-level presentations and briefing materials
  • Deliver concise, data-driven storytelling tailored for senior leadership audiences.
  • Draft internal communications, leadership messages, and talking points for the SVP.

Travel & Expenses

  • Manage all aspects of executive travel (domestic/international), ensuring efficiency, compliance, and seamless execution.
  • Process and reconcile expenses accurately and timely.

Stakeholder & Cross-Functional Coordination

  • Serve as a central point of contact connecting the SVPs with PO leaders, business executives, recruiting teams, and other internal and external partners.
  • Coordinate workflows across Finance, Legal, and Communications functions.
  • Support alignment across global regions and ensure consistent execution of RIC and PSI priorities.

Confidentiality & Compliance

  • Handle sensitive employee, talent, and organizational data with strict confidentiality and adherence to company policies.

Team Enablement

  • Mentor and support administrative team members where applicable.
  • Establish best practices, templates, and operational standards to enhance efficiency within the RIC and PSI support model.

Education & Experience (Recommended)

  • High School Diploma/GED or equivalent experience
  • 8+ years of experience supporting senior executives (SVP/ELT level), preferably in HR, Talent Acquisition, Inclusion & Culture, or similar global functions

Knowledge & Skills

  • Executive-level administrative support and operations (expert level)
  • Complex calendar management across global time zones
  • Executive communication and presentation development
  • Talent/recruiting lifecycle understanding (preferred)
  • Data storytelling and dashboard interpretation

The pay range for this position is$40to$60USD per hour (applies to United States of America candidates only). Pay varies by work location, job-related knowledge, skills, and experience.
