The Operations & Executive Support Manager is a key operational leader responsible for coordinating the administrative and client-service functions that support the Central Florida offices. This position will oversee the day-to-day operations of the Central Florida offices and provide high-level executive support to the Managing Principal.

The position is responsible for ensuring that administrative workflows, billing and collections, engagement support, office operations, and executive priorities are organized, timely, and consistently executed. The successful candidate will be a proactive and trusted leader who can manage people, improve processes, drive accountability, and exercise sound judgment in a deadline-driven public accounting environment.

Responsibilities

  • Lead, supervise, develop, and coordinate the operations teams supporting the professional staff, reception, client service, and general office functions; coordinate coverage and workload during peak periods.
  • Oversee administrative workflow for tax and other client engagements, including client setup, engagement letters, document processing, filings, correspondence, assembly, and delivery to ensure accuracy and timely completion.
  • Establish clear service expectations, procedures, priorities, and accountability standards for teams under the positions direction.
  • Oversee timely and accurate client billing, invoice processing, billing adjustments, and related administrative workflows.
  • Monitor accounts receivable aging and coordinate collection follow-up with clients, partners, principals, and client relationship owners.
  • Track disputed invoices, payment issues, and collection escalations through resolution.
  • Prepare and communicate billing and receivables reports to leadership and identify trends or areas requiring attention.
  • Oversee client-service processes and administrative support standards to ensure consistent, professional interactions with clients and internal teams.
  • Monitor deadlines, workflow bottlenecks, staffing needs, and outstanding administrative items.
  • Provide high-level support to the Managing Principal, including calendar and meeting coordination, preparation for meetings, communications, priority management, special projects, and follow-up on key action items.
  • Prepare reports, meeting materials, correspondence, and other information needed for leadership discussions and decisions.
  • Handle sensitive firm, employee, financial, client, and leadership information with a high degree of discretion.
  • Manage day-to-day operations of the Orlando office, including facilities, supplies, vendors, reception coverage, office appearance, meetings, events, visitors, and general office logistics.
  • Coordinate office communications, employee events, client meetings, and other activities that contribute to a professional and positive workplace.
  • Support technology implementations, reporting initiatives, and other Central Florida operational projects.

Qualifications

  • Bachelors degree preferred; equivalent relevant experience will be considered.
  • Five or more years of progressively responsible experience in operations management, executive support, office administration, client service, billing, or professional services.
  • Prior experience supervising and developing staff, preferably across multiple functional areas.
  • Experience in public accounting, accounting, consulting, law, financial services, or another deadline-driven professional services environment preferred.
  • Demonstrated experience with billing, accounts receivable, collections coordination, workflow management, or client-service operations.
  • Strong proficiency in Microsoft Outlook, Teams, Word, and Excel, with the ability to learn and administer firm-specific systems and technology.
  • Excellent organizational, communication, problem-solving, leadership, and follow-through skills.
  • Ability to manage competing priorities, maintain confidentiality, and exercise sound judgment with limited supervision.
  • Ability to build effective working relationships with partners, principals, professional staff, administrative staff, and clients.
  • Ability to travel periodically to the Melbourne office and work additional hours during January through April and other peak periods as needed.
