Administrative Assistant

Location: Phoenix, AZ

Position Description: Currently, we have an Administrative Assistant opportunity with our art gallery client, who has become a cultural center for all ages. The client is a vibrant, non-profit art center located in one of the first homes built in Arcadia, Phoenix, AZ. Its scenic setting and historic charm provide a unique setting in which visitors can explore and enjoy visual arts programming through classes, workshops, lectures, exhibitions, and events. For children, a variety of art activities are offered year-round, including After-School Art Classes, Summer Camps, and Family Fun Nights. Venue rentals are also available for weddings, board retreats, private parties, and custom classes. An on-site gift shop and outdoor sculpture garden offer one-of-a-kind works of art for sale, which foster their mission to support and showcase Arizona artists.

  • Phones
  • Computer work on Mac
  • Greeting guests
  • Tracking visitor traffic
  • Helping with calendar and meeting coordination (Zoom, Teams)
  • Sending out correspondence
  • Tracking and ordering supplies
  • Jumping in with whatever needs doing to keep the client moving forward

Skills:

  • 1+ years of administrative experience
  • 1+ years customer service experience
  • Mac experience
  • Knowledge of MAC computers (Apple), plus proficiency with Microsoft Office Suite (Outlook, Word, Excel) and Google Workspace; experience with a donor database and QuickBooks experience is a plus.
  • Minimum 2 years of experience in an Administrative Assistant role. Art, retail sales, HR, or non-profit experience in a small business is a plus. Event planning experience is a plus.
