Front Desk Receptionist
St. Anne Catholic School, Houston, TX 
Summary:
St. Anne Catholic School seeks responsible, energetic and nurturing individuals who love children and have experience with school office atmosphere. This person will report directly to the principal. The front desk receptionist supports the school office, school nurse and teachers where needed. This position plays a key role in the day-to-day operation of the school and the overall security of the building.

Work Year: School Office Days/Hours Open 11 month position typically Aug June.
Specific Days Needed: Monday - Friday
Min./Max. Hours per week: 40
Job Hours: 7:30 AM 3:30 PM (additional hours maybe added for meetings, etc)
Education/Experience:












  • The successful candidate is expected to:
  • Be trained and verified in Safe Haven an Archdiocese requirement of all employees and volunteers.
  • Receive a criminal background check clearance.
  • Have a high school diploma or GED
  • Be committed to the philosophy of Catholic school and value oriented education.

Job Duties:

  • Label mail boxes in work room in the summer before teachers return.
  • Assign car line numbers to new students. Have numbers printed. Make car line document for key personnel working the car line and keep document updated as needed throughout the year.
  • Collect, sort and alphabetize first of year documents received from parents for nurse and school filing.
  • Welcomes guest and check visitors in
  • Direct visitors to the correct staff/faculty member or campus location.
  • Responsible to check visitors out upon leaving the campus grounds.
  • Monitor security cameras and gates.
  • Maintain sidewalk signs
  • Mark student's time out, when leaving for an appointment, and mark their time of return in the RenWeb system.
  • Mark students tardy when arriving late to school.
  • Answer phones and transfer to the appropriate staff/faculty member or take messages and pass the appropriate information to the teacher/staff via email.
  • Handles communication inquiries from parents, students, faculty and staff, as appropriate.
  • Receive and respond to inquiries by providing directions, instructions, promotional material, or other general information or refer such inquiries to the appropriate person.
  • Coordinates bus transportation for athletics, field trips, faculty/staff travel, etc. Coordinate payment of busses with Mrs. Loh.
  • Prepare permission slips for teachers.
  • Order copy paper and colored paper for the two workrooms with copiers.
  • Order copier suppliestoner and staples.
  • Ensure office equipment is properly maintained and serviced. Fix jams and call for service of copiers/laminators as needed.
  • Send the principal's letter as requested.
  • Flag pole maintenance. Order new flags when necessary.
  • Pull lunch count report daily for ECI staff.
  • Police and traffic officer's liaison. Text about unexpected school closings. Print calendars used as time sheets.
  • Cover nurses office when needed, only for minor situations, otherwise oversee students until the nurse can see them.
  • Mail in workroom boxes. Sign for FedEx and UPS packages.
  • Fax, scan and copy documents when needed.
  • Keep office area clean and picked up.

Skills/Competencies:

  • Computer skills including MS Office required.
  • Renweb and Raptor experience a plus.
  • Strong work ethic with the ability to manage multiple, and occasionally simultaneous, deadlines and projects.
  • Excellent judgement, confidentiality, discretion and diplomacy required.
  • Work management and prioritizing.
  • Excellent verbal and written communication skills.
  • Willingness to take initiative and work independently.
  • Meticulous organizational and problem-solving skills, with attention to detail.
  • Strong interpersonal skills in relating to multiple audiences, including students, parents and educators with grace, competence and warmth.

Physical Demands:
While performing the duties of this job, the employee is regularly required to sit at a desk area, communicate via phone/face to face, basic email correspondence, walk to different office areas, escort children to campus locations upon their arrival, reach with hands and arms, and lifting p to 50 pounds. This role routinely uses standard office equipment such as computers, multi-line phones, photocopiers, filing cabinets and other technology.
