Job description

Overview

MG2, an affiliate of Colliers Engineering & Design, is currently looking for an Senior Administrative Assistant to join our team in Seattle, WA!

This position supports assigned studio, executive, and office operations. A Senior Administrative Assistant supports C-Suite and professional services teams in all related administrative tasks required for their successful business operations as assigned. The role will generally also include calendar & event coordination, catering coordination, supply management, expense reporting, as well as general office and facilities support. Success in the role is defined by a highly collaborative and flexible approach to the changing needs of the studios and offices. The position requires strong customer service, support, and organizational skills.

Responsibilities

  • Supports C-Suite level tasks and maintains its confidentiality.

  • Serves as the President & CEO’s liaison to both outside contracts and internal staff at all levels.

  • Manages and maintains the President & CEO’s Schedule, appointments and Travel arrangements.

  • Administration of C-Suite support as assigned including, but not limited to, meeting cadence, ROB, meeting preparation, meeting scheduling, minutes and distributions, documentation support, team communications and project administration support activities.

  • Maintains program or project related assignments; may include presentation drafts, project reporting, and following up on action steps as needed.

  • May be involved with project level tasks that support members of the C-Suite, including archiving, processing check requests, and close out.

  • Use of data management tools, reports and dashboards as assigned.

  • Identifies ways to improve day-to-day administrative tasks with support of continuous improvements and efficiencies.

  • Plans and maintains team engagement with morale and developmental events.

  • Arranges schedules, travel, team /office events, meeting catering, and support expense reconciliations.

  • Supports key projects/initiatives within office operations.

  • Provides general office administrative services and support includes, but is not limited to, supporting the onboarding of new employees/contingent workers, answering questions re: central sites, internal processes, and e-tools, assisting with international and domestic shipping, safety concern coordination, and liaising with facilities management and front desk coverage.

  • Provides Event support as needed.

Qualifications

  • High School GED or equivalent.

  • Minimum of 5 years of administrative experience, with at least 2 supporting at the executive level.

  • Strong MS Office proficiency.

  • Ability to read, write and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.

Compensation: $37.69 to $55.00 per hour (depending on qualifications)
