A global group headquartered in Dubai, Vista integrates a unique portfolio of companies to offer asset-free services that cover all key aspects of business aviation, including guaranteed and on-demand global flight coverage, subscription and membership solutions, and trading and management services.
The Operations Support Specialist reports to the regional Head of Vista Operation Support Specialist and is a part of the overall VOSS department. The Operations Support Specialist will assist in the efficiency of the Operational Support Services function and processes by providing and maintaining:
-Aircraft administrative support services
-Systems and tools administration support services
-Operations administrative support services
-Crew administrative support services
Responsibilities
• Aircraft administrative support services:
o Assist with maintaining, renewing, and distributing aircraft documents (approvals, certificates, licences).
o Logistics support for items required onboard the aircraft; ordering and arranging required stock items.
o Support with maintaining the timely distribution of cyclical database download.
• Systems and tools administration support services:
o Assist with initial set up and maintenance for dedicated aircraft iPads.
o Support with organizing and distributing information within certain systems.
• Operations administrative support services:
o Support with maintaining validity of foreign air operator certificates and permits.
o Proactively review and support of licenses and subscriptions (databases and accesses).
o Provide timely support for aircraft phase-ins and phase-outs, including system and subscription updates.
o Support operating groups with timely data and reports.
• Crew administrative support services:
o Provide support with arranging and planning initial and recurrent training for flight crew.
o Assist with maintaining crew lifecycle within systems.
o Support with keeping track and monitoring crew documentation expiry dates.
o Consult with relevant groups in connection to pre-notifications, licence renewals and assessments of competence.
o Assist with liaising with both internal and external training providers to ensure quality standards of training.
o Support with monitoring all crew documentation to satisfy needed requirements.
o Assist with processing crew member training records and qualifications.
Required Skills and Experience
• Proven results in an administrative role or similar.
• Strong attention to detail while performing duties with a high degree of accuracy.
• Excellent verbal and written communication skills.
• Multi-tasking effectively, prioritizing appropriately, and timely completion of assigned tasks.
• Demonstrated ability to exercise good judgment with the ability to work independently and solve problems.
• Professional attitude, and ability to maintain confidentiality and discretion in handling sensitive data.
• Ability to remain organized and function well in a high-paced environment.
• Highly determined, a quick learner and able to adopt a lateral approach to problem solving
• Fluent in both written and spoken English.
