Job description

Duties:

• Provide organizational support to owners and managers

• Data entry

• Accounts receivable / Accounts payable

• Reconcile statements

• Payroll / manage employee time tracking program

• Create estimates and invoices in QuickBooks

• Create and populate reports

• Participate in administrative meetings with owners and managers

• Complete clerical and task-based jobs, produce copies, process mail, etc.

• File paperwork, maintain and organize both hardcopy and digital files properly

• Manage / update company website and social networking periodically

• Manage / update company calendars regularly

• Manage / update company CRM regularly

• Manage company emails and process accordingly

• Manage / update subcontractor COI’s and W-9’s

• Prep new employee packets as needed

• Draft documents as needed

• Apply for online building permits

• Answer office phone

• Complete quarterly tax reports and filings

• Complete annual tax reports and W-2 / W-3, 1099 / 1096 filings

Position Requirements:

• Must have high school diploma or higher

• Must have a valid driver’s license and a reliable vehicle

• Experience with QuickBooks

• Preferred associate’s degree in accounting, or certificate in bookkeeping or related field

• Preferred Experience in bookkeeping, clerical, office administration, finance, or accounting

• Competent typing and data entry abilities

• Competent in basic math (can pass a short, basic math /accounting test with practical application)

• Competent in reading financial reports and reporting financial data (can give accurate job profitability numbers, A/P & A/R aging reports, and recognize errors)

• Must be organized and tidy

• Must pay attention to detail

• Must uphold company and customer confidentiality

• Must be able to lift 20 lbs. (box of copy paper)

• 90 Day Review for all new hires
