The Operations Coordinator is a key member of the Office of Global Engagement Administrative unit at Louisiana State University. The Coordinator will serve the University community and partners through exceptional service, relationship building, and administrative support. This position reports directly to the Associate Director of Finance and Operations for the Office of Global Engagement. The Coordinator will facilitate positive working relationships both internally and externally. This is an excellent opportunity to support international and domestic students, faculty, staff, suppliers, and partners with the goal of advancing internationalization. To be a successful member of the operations team, the Coordinator will contribute to and participate in improving the experience of the international community at LSU.

This is a public-facing position not currently eligible for remote work. The standard University hours of operation are 8:00 AM - 4:30 PM CST, Monday - Friday.

Job Responsibilities

Front Desk Administration (40%):

  • Receive and direct students, faculty, staff, scholars, parents, visitors, and guests. Assist individuals and groups in-person, by phone, email, and video conference.
  • Foster positive working relationships inside and outside of the Office of Global Engagement team.
  • Act as a resource, being willing to solve problems independently or collaboratively as needed.
  • Coordinate internal and external communications. Manage general inquiries, mail, and specialized correspondence.
  • Act courteously and professionally at all times. Maintain a professional appearance.
  • Be understanding and considerate of academic, personal, professional, cultural, and family concerns. Actively work to increase one's cultural competence.
  • Handle sensitive information in a confidential and trustworthy manner. Exercise discretion and independent judgment.
  • Receive and distribute highly sensitive documents. Log incoming and outgoing documentation properly.
  • Ensure individuals and groups successfully connect with the resources needed in a timely manner.
  • Ensure efficient operations and the positive presentation of Hatcher Hall spaces.
  • Prepare regular reports to be distributed to the Office of Global Engagement leadership team, informing them of trends, challenges, opportunities, and needs identified through tracking data related to interactions and requests at the front desk.

Administrative Support (30%):

  • Assist with the planning of Global Engagement programming and initiatives as directed.
  • Support engagement by utilizing software and web-based programs to schedule meetings, appointments, conference calls, advising sessions, and video conferences.
  • Draft, format, organize, update, and distribute materials to appropriate parties as needed.
  • Assist Global Engagement team members with administrative tasks, including but not limited to ordering/ locating/organizing supplies, preparing for programming and events, and addressing team needs in a timely manner to avoid disruption to workflows.

Business Operations (30%):

  • As a member of the Business Operations team, process financial reconciliation tasks in support of Global Engagement staff, Study Abroad faculty, staff, and students, etc.
  • Process requisitions, deposits, internal charges, and small-dollar purchases on behalf of the Office of Global Engagement.
  • Develop and maintain operational processes and workflows to ensure resources are used efficiently.
  • Support relevant annual cycles and requirements, including but not limited to inventory, fiscal year-end, study abroad accounting, scholarships, orientations, unit strategic planning, etc.

Additional Requirements

FERPA - As with all LSU employees, due to this position title and/or responsibilities, this position has an obligation to assist students in the acquisition of necessary services. Should a student appear in need of or seek assistance with issues of an emotional, behavioral, or mental health-related matter, they should be referred to the proper service within the Student Health Center. In situations where the student creates an impression that they are a danger to themselves or others, the advisor should immediately contact the Care Team, the Dean of Students, or the appropriate law enforcement agency. The employee outside of those rights contained within FERPA should create no impression of client or patient confidentiality.

Minimum Qualifications

Bachelor's degree in any field and 1 year of experience in a professional setting, including experience managing documents and digital files.

Preferred Qualifications

Bachelor's degree in Business, Accounting, International Business, International Studies, or a related field.
