GENERAL DESCRIPTION OF POSITION
The Coordinator of Student Wellbeing Programs supports the expansion and implementation of campus-wide mental health promotion and student wellbeing initiatives for undergraduate, graduate, and professional students across the Forest Grove and Hillsboro campuses. Reporting to the Assistant Director of Student Wellbeing, this position manages the day-to-day operational, logistical, and promotional functions that sustain workshops, outreach efforts, prevention programming, and student leadership initiatives within the SCC, while also providing direct outreach and program facilitation as needed.
This role exists to strengthen the scale, coordination, and consistency of wellbeing programming across diverse student populations whose needs may differ but are equally vital to academic success and personal thriving. As wellbeing initiatives continue to be coordinated centrally within Student Affairs, the Coordinator will aim to build capacity to serve graduate and professional students more intentionally while maintaining robust programming for undergraduates.ย 
The position plays a key role in operationalizing student wellbeing efforts, supporting core initiatives in suicide prevention, substance use harm reduction, and general mental health promotion, while striving to expand capacity in areas such as neurodivergent inclusion, physical wellbeing (including sleep, nutrition, and movement), nature-based wellbeing, and initiatives that strengthen healthy relationships, belonging, and social connection.


ESSENTIAL FUNCTIONS / MAJOR RESPONSIBILITIES

Program and Event Coordination

  • Coordinate the logistics and day-to-day implementation of student wellbeing workshops, trainings, outreach events, and prevention initiatives across the Forest Grove and Hillsboro campuses.
  • Support the expansion of programming across diverse wellbeing domains, ensuring operational readiness, consistency of delivery, and accessibility for undergraduate, graduate, and professional students.
  • Coordinate scheduling, space reservations, event registration, catering, materials preparation, and on-site logistics including set-up and breakdown.
  • Support assessment efforts by collecting, tracking, and reviewing participation data, contributing to program evaluation processes, and assisting with divisional strategic planning and continuous improvement initiatives.
  • Support the development of programming formats that meet the distinct schedules, cultures, and professional demands of graduate and professional students, including evening, hybrid, or campus-specific initiatives as appropriate

Communications, Promotion, and Outreach

  • Develop and coordinate promotional efforts for student wellbeing initiatives, including social media content, digital signage, e-news submissions, website updates, flyers, and campus announcements.
  • Maintain consistent, engaging, and culturally responsive messaging aligned with divisional priorities.
  • Manage outreach supply inventory, including ordering and maintaining promotional materials and giveaways.
  • Respond to inquiries from students, faculty, staff, and campus partners regarding programming and services

Student Employee and Peer Program Coordinatio

  • Support the development and coordination of student employees, peer educators, ambassadors, practicum students, and/or volunteers within the wellbeing area.
  • Assist with recruitment, onboarding, scheduling, timekeeping, and training logistics for student staff.
  • Provide day-to-day guidance and coordination for student leaders implementing outreach and programming efforts.

Administrative and Operational Support

  • Provide administrative coordination to support the Assistant Directorโ€™s strategic initiatives, including work group logistics, meeting coordination, documentation, and follow-up communication.
  • Assist with purchasing, budget tracking, supply management, and vendor coordination.
  • Maintain organized records, shared files, program materials, and reporting documents.
  • Support assessment efforts by collecting and compiling participation metrics and program feedback data.

Cross-Unit Collaboration and Campus Engagement

  • Coordinate with campus partners, academic programs, student organizations, campus living, and professional programs to support collaborative programming efforts.
  • Contribute to orientation programming, signature campus initiatives, and divisional events across both campuses, collaborating with colleagues to maintain event calendars and coordinating cross-campus scheduling to maximize visibility and participation.
  • Participate in cross-training and divisional collaboration efforts to ensure integrated and coordinated student support.

SECONDARY FUNCTION

  • Participate in Student Affairs evening or weekend programming as needed.
  • Provide support during peak programming periods or staff absences.
  • Serve on campus committees or working groups related to student wellbeing, as assigned.
  • Perform other related duties as assigned.

JOB SCOPE

  • Scope of responsibility aligns with the Essential Functions described above.
  • The Coordinator of Student Wellbeing Programs performs duties with a moderate level of professional autonomy, operating within university policies and Student Counseling Center procedures and reporting to the Assistant Director of Student Wellbeing.
  • The position is responsible for coordinating the day-to-day operations of student wellbeing programming, communications, administrative processes, and event logistics across the Forest Grove and Hillsboro campuses. The Coordinator exercises independent judgment in managing operational priorities, interpreting procedures, and supporting student engagement initiatives within established guidelines or in consultation with the Assistant Director, as appropriate.
  • The Coordinator is expected to manage multiple projects simultaneously, supervise student employees, collaborate across the division and university, and ensure efficient implementation of student wellbeing programs serving undergraduate, graduate, and professional students.
  • Responsible for purchasing card use and tracking program-related expenses in compliance with university fiscal policies; no budget authority.
  • This is an in-person position with limited remote work permitted only with prior approval. Primary office location is the Forest Grove campus, with consistent service and presence on the Hillsboro campus.

SUPERVISOR RESPONSIBILITYย 

Supervises Support-Level Staff: This position may supervise support-level student workers, peer educators, interns, and/or practicum students, including hiring, scheduling, task delegation, and performance feedback.

REQUIRED EDUCATION AND/OR EXPERIENCE

  • Bachelorโ€™s degree in Public Health, Higher Education, Health Promotion, Student Affairs, Communications, or related field.
  • Minimum 1โ€“2 years of experience in event coordination, student programming, health promotion, communications, or related operational support roles (graduate assistant experience may be considered).


REQUIRED QUALIFICATIONS

  • Excellent written and verbal communication skills with demonstrated ability to engage diverse audiences in culturally responsive ways.
  • Strong organizational skills and ability to manage multiple projects simultaneously.
  • Demonstrated ability to coordinate events and manage logistical details in a fast-paced environment.
  • Proficiency with common office software, spreadsheets, digital communication platforms, and social media tools.
  • Ability to maintain confidential records and exercise sound judgment.
  • Demonstrated collaboration skills and ability to work effectively across campus departments.
  • Strong problem-solving skills and ability to work both independently and as part of a team.


PREFERRED QUALIFICATIONS

  • Masterโ€™s degree in related fields.
  • Experience in higher education or collegiate health promotion settings.
  • Experience supervising student employees or peer leaders.
  • Experience managing social media or digital engagement strategies.
  • Familiarity with program assessment or participation tracking.
  • Bilingual or multilingual skills, particularly Spanish.

WORKING CONDITIONS

  • Work Setting: Full-time, in-person position based primarily on the Forest Grove campus, with consistent in-person responsibilities on the Hillsboro campus (typically 1โ€“2 days per week).
  • Schedule Expectations: Typically standard weekday hours (Mondayโ€“Friday), with regular evening and occasional weekend responsibilities based on programming needs.
  • Physical Requirements: Light to moderate activity, including lifting up to 25 pounds for event set-up, standing for extended periods during programs, and regular computer use.
